Property Operations Coordinator
Location: Harrow, London – with regular travel to properties across London
Salary: £25,000–£26,000 per year

The Opportunity
We are looking for a smart, organised and proactive Property Operations Coordinator to join our growing residential property management business.
You do not need years of property experience.
We are looking for someone who learns quickly, takes initiative, communicates well and wants the opportunity to take on real responsibility as they develop.
You will work directly alongside the Director and learn how we operate a residential property portfolio across lettings, maintenance, tenant management, compliance and financial administration.
Initially, you will work closely with the Director while learning our systems and processes. As you become more confident and capable, you will progressively take ownership of the day-to-day operation of the portfolio.
This role would suit someone who wants to build a career within a growing business rather than remain in a narrow administrative position.
What You'll Be Responsible For
The role is varied and combines office-based work with regular visits to properties across London.
Property & Tenant Operations
You will help ensure the day-to-day portfolio continues running smoothly.
This will include:
- Responding to tenant enquiries and resolving routine issues
- Coordinating tenant move-ins and move-outs
- Arranging inventories, key handovers and property access
- Carrying out property inspections
- Organising and occasionally conducting viewings
- Keeping property and tenancy records accurate
- Following up outstanding tasks and ensuring matters are progressed
We are looking for someone who sees an outstanding issue and thinks:
“How can I move this forward?”
rather than waiting to be reminded.
Maintenance & Contractors
You will help coordinate maintenance across the portfolio, including:
- Reviewing reported maintenance issues
- Arranging contractors and access with tenants
- Scheduling maintenance visits
- Obtaining updates and quotes where required
- Chasing outstanding works
- Keeping tenants updated
- Checking that jobs have been completed
- Escalating urgent, unusual or high-cost matters when appropriate
Lettings & Tenancy Administration
You will help progress new tenancies from enquiry through to move-in, including:
- Communicating with applicants
- Arranging viewings
- Coordinating referencing
- Monitoring outstanding application requirements
- Assisting with Right to Rent checks
- Preparing tenancy documentation
- Monitoring contracts and payments
- Coordinating move-in arrangements
Compliance & Property Administration
You will be trained to help monitor and coordinate property compliance, including:
- Gas Safety Certificates
- EICRs
- EPCs
- Property and HMO licensing
- Fire-safety documentation
- Property inspections and certificate renewals
You will not be expected to know all of this from day one.
The important thing is being organised enough to monitor deadlines, maintain accurate records and make sure requirements are dealt with before they become overdue.
Financial Administration
You will gradually become involved with the financial side of the portfolio, including:
- Monitoring tenant payments
- Assisting with rent reconciliation
- Identifying and following up arrears
- Assisting with deposit registrations and returns
- Recording contractor and property-related expenditure
- Reviewing invoices and maintaining accurate records
- Flagging payment or reconciliation issues that require further investigation
Systems & Technology
We operate differently from many traditional property-management companies.
We use Arthur Online alongside our own CRM, automation and AI-assisted systems to manage properties, maintenance, applicants, workflows and internal operations.
You will be trained to use these systems and will be expected to:
- Keep information accurate and up to date
- Monitor outstanding and overdue tasks
- Identify cases that are not progressing correctly
- Help improve processes as you become familiar with the business
- Use technology to reduce repetitive administration and work more efficiently
You do not need previous experience with our systems, but you must be confident learning new technology.

Previous experience in property, lettings, administration, operations or customer service would be beneficial, but is not essential for the right candidate.
A full UK driving licence would be beneficial due to the mobile nature of the role.
Training & Progression
This role has been designed with progression in mind.
You will initially work directly alongside the Director, who currently oversees the majority of the operational areas you will be learning.

As you demonstrate capability, you will be given increasing responsibility and independence.
The long-term intention is for the successful candidate to become a key operational member of the business, capable of taking significant ownership of the day-to-day portfolio as the company grows.

Working Arrangements
- Full-time, Monday to Friday
- £25,000–£26,000 per year
- Primarily based from our Harrow office
- Regular travel to managed properties across London
- Some flexibility may occasionally be required around viewings, inspections, move-ins and urgent property matters
- 6-month probationary period
- Salary and responsibility review following successful completion of probation
