Job Purpose
We are looking for an organised and proactive administrator to support the effective delivery of our housing services across the UK. The role will provide high-quality administrative support to our housing officers and regional managers, ensuring records are kept accurately across all our systems.
Key Responsibilities
- Provide day-to-day administrative support to the housing team, including managing shared inboxes, responding to enquiries and handling incoming calls professionally.
- Maintain accurate tenant and property records using housing management systems and Microsoft Office applications.
- Support tenancy administration, including preparing letters, tenancy documents, appointment records, forms and reports.
- Assist with voids, lettings and allocations administration, including advertising properties, preparing paperwork and updating system records.
- Support housing officers with customer enquiries, complaints, case notes and follow-up actions.
- Ensure all records and communications are handled confidentially and in accordance with GDPR and organisational policies.
- Contribute to service improvements by identifying opportunities to streamline administration and improve customer experience.
Skills and Experience Essential
- Previous administrative experience in an office, housing, property, lettings, local authority, charity or customer service environment.
- Excellent organisational skills with the ability to manage a varied workload and meet deadlines.
- Strong written and verbal communication skills, with a professional and helpful approach to customers and colleagues.
- Good attention to detail and confidence maintaining accurate records.
- Confident IT skills, including Microsoft Word, Excel, Outlook and Teams, with the ability to learn our housing management system (training will be provided)
- Ability to work collaboratively as part of a team while also using initiative to complete tasks independently.
- Understanding of confidentiality, safeguarding awareness and data protection responsibilities.
Desirable
- Knowledge of housing processes such as allocations, tenancy management, repairs, voids, rent accounts or anti-social behaviour case administration.
- Experience using housing management, case management or CRM systems.
- Awareness of landlord and tenant responsibilities, housing standards and customer care principles.
