Overview
Our team is hiring an Administrative Assistant to support daily operations. The successful candidate will provide essential administrative support, ensuring smooth communication, efficient office workflow and accurate record-keeping. A proactive approach and strong organisational skills are required to help foster a productive environment where team members can thrive. Responsibilities
· Track, organise and manage office inventory and supplies, toiletries, consumables etc
· Handling financial information, processing invoices, updating records
· Keep UKCA EN 1090 EXC2 records and paperwork accurate (previous experience in steel industry desirable, but not essential)
· Assist with onboarding new employees & maintaining personnel records
· Managing company correspondence, including incoming phone calls, emails, letters and packages
· Update and maintain HR records when applicable
· Liaise with workshop & site operatives regarding project progress
· Developing and maintaining accurate contact lists, digital and paper filing & record keeping systems
· Clerical duties e.g. photocopying, scanning, mailing
· Manage and regularly update social media platforms (LinkedIn, Facebook & Instagram)
· Revise website accordingly & communicate with IT technician for support
· Assist with scheduling meetings, appointments and coordinating events to support team
· Liaising with suppliers and contractors
· Support team members as and when necessary
Qualifications
- Proven office experience demonstrating strong organisational and multitasking abilities
- Proficiency in IT and use of Microsoft Word, Office, Excel, Outlook and similar software programs
- Prior administrative experience with familiarity in clerical tasks such as filing, photocopying and mailing
- Excellent phone etiquette with the ability to communicate clearly and professionally
- Strong organisational skills with keen attention to detail and accuracy in typing and record keeping
- Ability to adapt quickly in a fast-paced environment while managing multiple priorities effectively
