Job Overview
We are seeking a proactive and highly organised Administrator to join our growing mechanical services team. In this key role, you will provide essential administrative support across our projects and day-to-day business operations, helping to ensure contracts run efficiently from start to finish. Working closely with project managers, engineers, suppliers, and office staff, you will play an important part in maintaining accurate records, coordinating documentation, and supporting the successful delivery of mechanical projects.

Duties
- Maintaining accurate records, filing systems, and company documentation.
- Handling emails, phone calls, and correspondence professionally and efficiently.
- Performing general administrative duties, including photocopying, scanning, filing, and distributing documents.
- Ordering materials, equipment, and supplies for ongoing mechanical projects and office requirements.
- Raising Purchase Orders (POs) accurately and ensuring they are processed in a timely manner.
- Processing supplier invoices and inputting bills into Xero where applicable.
- Producing, updating, and formatting reports, spreadsheets, and documentation when needed.
- Chasing engineers for job sheets and service reports.
- Providing administrative support to management
Qualifications & Experience
- Previous administration experience is preferred
- Strong organisational skills with the ability to manage multiple tasks and priorities.
- Excellent attention to detail and a commitment to maintaining accurate records.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Experience using Xero or similar accounting software would be advantageous but not essential
- Strong communication skills and confidence in liaising with engineers, suppliers and colleagues.
- Ability to work independently whilst contributing positively to a team environment.

Pay: £26,000.00 per year
