About the Role
We're looking for a proactive, detail-oriented Scheduler / Project Coordinator to act as the primary point of contact for a specific client. Owning day-to-day communication, scheduling, reporting, and issue resolution. This role sits at the intersection of client relationship management and operational coordination, ensuring site visits run smoothly and the client feel informed and supported at every stage.
The ideal candidate is an excellent communicator who thrives on organisation, can juggle multiple priorities, and is comfortable being the face of the company in client interactions - while also handling the behind-the-scenes logistics that keep projects on track.
Key Responsibilities
- Serve as the main point of contact for a specific client
- Understand client needs, priorities, and expectations, and proactively communicate progress and changes
- Create, manage, and update the project schedule, ensuring resources, timelines, and milestones are clearly tracked
- Coordinate site visits, meetings, and resource allocation
- Adjust schedules in response to changing priorities, delays, or resource constraints, keeping all stakeholders informed
- Own client communications, including status updates, meeting recaps, and follow-ups
- Draft and send clear, professional written communications
- Prepare and lead client check-ins or status calls where required
- Produce regular progress reports, dashboards, or summaries for clients and internal stakeholders
- Maintain accurate records of client interactions, decisions, and agreed actions
- Support the wider project/operations team with administrative and logistical tasks as needed
Experience & Skills
- Proven experience in a scheduling and/or project coordination
- Highly organised, with strong attention to detail and the ability to manage multiple schedules simultaneously
- Confident handling difficult conversations and resolving escalations calmly and effectively
- Comfortable working with scheduling tools, CRM systems, and reporting software (e.g., MS Project, Asana, Monday.com, Salesforce, or similar)
- Strong proficiency in Microsoft Office / Google Workspace (especially Excel/Sheets and PowerPoint/Slides for reporting)
- Client-focused mindset with a genuine interest in building relationships
- Calm under pressure, especially when managing competing priorities or escalationsCollaborative team player who works well cross-functionally
- Experience in professional services within MSP or channel partner environments
- Experience creating client-facing dashboards or automated reporting
Pay: £25,000.00-£28,000.00 per year
