Job Summary
We are seeking a proactive and detail-oriented Maintenance & Projects Administrator to join our team. Working within a fast-paced environment, you'll play a key role in coordinating engineers, supporting clients, managing administration and ensuring our maintenance operations run efficiently.
Location: Near Gatwick Airport (Office-based)
Working Hours: Monday to Friday, 08:00–16:30
Salary: Competitive salary, dependent on experience
Contract Type: Full-time permanent employment

Responsibilities:
- Attend training sessions and become fully competent in the company's CAFM (Computer Aided Facilities Management) system.
- Manage day-to-day administration for the Maintenance & Projects team.
- Prepare and issue low-value quotations once familiar with company pricing structures.
- Schedule reactive and planned maintenance works using the CAFM system.
- Coordinate engineer diaries and allocate works efficiently.
- Monitor and manage communications across Microsoft Teams, ensuring requests are actioned promptly.
- Maintain regular communication with clients via email and telephone, providing updates on ongoing works.
- Process procurement requests, obtain supplier quotations and source the best live rates.
- Raise purchase orders and assist with supplier management.
- Support onboarding activities, including arranging uniforms, PPE and training requirements for new starters.
- Assist with general administration and ad hoc operational requests.
- Maintain accurate records of warehouse stock movements, ensuring goods received, returned, disposed of or retained are correctly recorded.
- Support the wider management team with reporting, document control and operational administration.
Essential Skills:
- Previous experience in an administration or coordination role.
- Excellent organisational and time management skills.
- Strong communication skills, both written and verbal.
- Confident using Microsoft Office, particularly Outlook, Excel and Word.
- Ability to prioritise workload and work under pressure.
- High attention to detail.
- Professional and customer-focused approach.
- Full UK driving licence.
Desirable skills:
- Experience within Facilities Management, Building Maintenance or Construction.
- Experience using a CAFM system (such as Joblogic, Concept, MRI, ServiceChannel or similar).
- Knowledge of reactive maintenance and planned preventative maintenance (PPM).
- Experience scheduling engineers or field-based teams.
- Procurement or purchasing experience.
