The Sales Office Administrator provides essential administrative support to the sales team, ensuring the smooth operation of the sales office and maintaining excellent service standards for customers. The role involves processing orders, maintaining accurate records, supporting the Sales Advisors with customer enquiries, and assisting the sales team with day-to-day administrative tasks.
Responsibilities
Sales Administration
- Process customer orders accurately and efficiently.
- Prepare quotations, sales documentation, and order confirmations.
- Maintain and update customer records within the company systems.
- Monitor order progress and liaise with relevant departments to ensure timely delivery.
- Assist with the preparation of sales reports and performance data.
- Support the sales team with administrative tasks to help achieve departmental objectives.
Customer Service
- Act as a first point of contact for customers via telephone, email, and in person.
- Respond to customer enquiries promptly and professionally.
- Resolve routine customer issues and claims, escalating complex matters where necessary.
- Build and maintain positive relationships with customers and suppliers.
Office Administration
- Manage incoming and outgoing correspondence.
- Coordinate meetings, appointments, and travel arrangements where required.
- Assist with the preparation of presentations and business documents.
- Assist with the restocking of the trade counter and samples.
- Support general office operations and administrative processes.
Data Management
- Ensure all sales and customer information is accurately entered and maintained.
- Produce regular reports and spreadsheets as requested including daily systems check.
- Monitor and maintain database integrity and compliance with company procedures.
- Assist with stock, pricing, and product information administration where applicable.
Compliance and Continuous Improvement
- Adhere to company policies, procedures, and data protection requirements.
- Support process improvement initiatives within the sales office.
- Maintain confidentiality of customer and business information.
