ABOUT THE CLINIC
ONE ORTHODONTICS is a specialist orthodontic clinic in the centre of Cobham. We provide high-quality orthodontic care in a modern, patient-focused environment.
We are also preparing to launch ONE FACE, which will offer facial aesthetic, medical and surgical treatments alongside our orthodontic services, including care related to facial balance, jaw joint function and upper airway health. It is an exciting time to join us, with the clinic growing into a multi-disciplinary specialist centre.
As we grow, we are looking for a friendly and organised Patient Coordinator to help run the front desk and ensure an excellent experience for every patient across both ONE ORTHODONTICS and ONE FACE.
ABOUT THE ROLE
This role is central to the smooth running of the clinic. As the first point of contact for patients, you will help create a welcoming and professional environment while supporting the clinical team with appointment coordination and patient communication.
You will play an important part in guiding patients through their journey, from their first enquiry through to treatment, across both our orthodontic and facial aesthetic services.
KEY RESPONSIBILITIES
Patient reception
- Welcoming patients and visitors to the clinic
- Managing patient check-in and check-out
- Maintaining a professional and welcoming reception area
Appointments and diary management
- Booking and coordinating appointments
- Managing the clinic diary to ensure efficient scheduling
- Sending appointment confirmations and reminders
Patient enquiries
- Answering phone and email enquiries promptly and professionally
- Supporting prospective patients with consultation enquiries for both orthodontic and facial aesthetic treatments
- Providing information about clinic services and appointments
- Following up on enquiries to help patients move forward with the care they want
Payments and administration
- Processing payments, deposits and receipts
- Maintaining accurate patient records
- Supporting general administrative tasks within the clinic
Patient journey support
- Helping patients navigate their consultation and treatment process
- Supporting appointment coordination across orthodontic and facial treatments
- Liaising with the clinical team to ensure smooth daily operations
Clinic presentation
- Helping keep the clinic spotless and well presented throughout the day, including the waiting area, refreshment bar and washrooms
ABOUT YOU
We are looking for someone who is:
- Friendly, professional and confident with patients
- Highly organised and reliable
- Comfortable speaking on the phone and in person
- Able to manage a busy reception environment
- Proactive and able to work independently
- Discreet and trustworthy with confidential information
We are particularly interested in candidates who enjoy working directly with patients and providing excellent customer service.
Preferred experience (not essential)
- Previous dental, medical or aesthetic reception experience
- Experience using appointment booking or practice-management systems
- Customer service or other patient-facing roles
Full training will be provided for the right candidate.
