The Role
As our Operations Lead, you will be responsible for the day-to-day running of our fulfilment operation and will be the central point of contact for everything from inventory management to customer order fulfilment.
Initially, you'll be hands-on, picking, packing and dispatching orders yourself while establishing efficient operational processes. As order volumes increase, you will recruit, train and lead an operations team, ensuring the business continues to deliver an outstanding customer experience.
This role is ideal for someone who enjoys taking ownership, thrives in a fast-paced startup environment, and is excited about building scalable operational systems from day one.
Key Responsibilities
Order Fulfilment & Warehouse Operations
- Manage the complete order fulfilment process from order receipt through to dispatch.
- Pick, pack and dispatch customer orders accurately and efficiently.
- Ensure all orders are shipped within agreed service levels.
- Maintain high standards of quality, accuracy and presentation.
- Coordinate daily warehouse activities to maximise efficiency.
Inventory Management
- Maintain accurate inventory records across finished goods, packaging materials and consumables.
- Monitor stock levels and place replenishment orders to ensure product availability.
- Manage stock rotation and inventory accuracy through regular cycle counts.
- Ensure temperature-sensitive products are stored correctly, including maintaining refrigerated storage where required to preserve product quality and efficacy.
- Monitor packaging supplies and ensure sufficient stock is always available to support fulfilment.
- Work closely with suppliers to ensure timely replenishment of inventory.
Customer Service
- Act as the primary point of contact for all customer order enquiries.
- Respond promptly and professionally to customer queries regarding order status, deliveries and product shipments.
- Resolve customer issues efficiently while maintaining a high standard of customer care.
- Monitor customer feedback and identify opportunities to improve the customer experience.
Operations & Continuous Improvement
- Develop and improve fulfilment and warehouse processes to support business growth.
- Create and maintain Standard Operating Procedures (SOPs).
- Identify opportunities to improve efficiency, reduce errors and automate manual tasks.
- Monitor operational performance and recommend improvements to increase productivity and customer satisfaction.
- Support the implementation of new systems and operational technologies as the business grows.
Team Leadership
- Lead the day-to-day fulfilment operation.
- Recruit, train and onboard new Operations Assistants as order volumes increase.
- Create a positive, accountable and high-performing team culture.
- Allocate daily workloads and ensure operational targets are achieved.
- Coach and develop team members to support their growth within the business.
Skills & Experience
Essential
- 2+ years' experience in ecommerce operations, warehouse operations, fulfilment or logistics.
- Excellent organisational and planning skills.
- Strong attention to detail.
- Ability to work independently and take ownership.
- Excellent communication and customer service skills.
- Confident using Microsoft Excel or Google Sheets.
- Comfortable learning new ecommerce, inventory and warehouse systems.
- A proactive mindset with a passion for improving processes.
Desirable
- Experience using Shopify, WooCommerce or similar ecommerce platforms.
- Experience with inventory or warehouse management systems.
- Previous supervisory or team leadership experience.
- Experience working in a startup or high-growth business.
- Knowledge of supplement, pharmaceutical or FMCG operations is advantageous.
