a warm, organised, and proactive Clinic Assistant to play a key role in both patient care and
the smooth running of the clinic.
The Role
Interview Process & Start Dates
- Application deadline: 13th August, 11pm
- Interviews: 14th August– 18th August (Stage 1 Zoom + Stage 2 in-person)
- Start date: Immediate to within 4 weeks
This is a front-facing, people-focused role combining reception, administration, and patient
support. You will be responsible for creating a welcoming and professional environment,
ensuring the clinic runs efficiently, and supporting patients in understanding and committing
to their care plans.
You will also contribute to the clinic’s growth through excellent service, patient retention, and
confident, ethical communication.
Patient Experience & Front Desk
- Welcome patients and visitors with warmth, professionalism, and confidence
- Manage phone, email, and in-person enquiries efficiently
- Guide new patients through bookings, forms, and clinic processes
- Maintain a calm, supportive, and organised reception environment
Scheduling, Administration & Systems
- Manage appointment scheduling and chiropractor diaries
- Maintain accurate patient records using clinic systems (e.g. Jane App)
- Process payments, issue receipts, and balance daily transactions
- Coordinate with suppliers, deliveries, and service providers
- Provide administrative support to chiropractors and clinic leadership
- Provide cover for the Clinic Manager when required
Patient Support & Ethical Sales
- Clearly explain chiropractic services, care plans, and pricing
- Encourage patients to book recommended treatment plans and follow-ups
- Support re-booking, wellness care programmes, and ongoing visits
- Follow up on missed appointments or incomplete care plans
- Contribute to clinic growth through excellent service, patient retention, and
- education-based conversations
- Meet agreed individual and clinic targets in line with company standards, supporting
- patient retention, care plan completion, and overall service excellence
Clinic Operations
- Ensure reception and patient areas are clean, welcoming, and organised
- Prepare treatment rooms as needed
- Monitor and manage clinic stock and supplies
- Assist with clinic promotions, events, and patient communications
Success in This Role Looks Like
- A consistently warm, professional, and efficient front desk experience
- High levels of patient retention and rebooking
- Strong adherence to care plans and appointment schedules
- Smooth day-to-day clinic operations
- Positive contribution to clinic growth and patient satisfaction
Skills & Experience Required
- Previous experience in reception, sales, administration, or customer service.
- Excellent communication and interpersonal skills
- Strong organisation and attention to detail
- Confidence using booking systems, payments, and basic IT platforms
- Professional, friendly and calm under pressure
- Comfortable discussing services, fees and care plans in a clear, supportive and ethical manner
- Motivated to contribute to clinic growth, patient retention and outstanding service
