The Property Centre is looking for a Tenancy Manager to join our growing Property Management department at our Taunton head office.
You will help manage the ongoing tenancies within our residential portfolio; working with landlords, tenants, contractors and colleagues to make sure issues are progressed, customers are kept informed and accurate records are maintained.
The role will primarily focus on tenancy management, but you will also be trained to support maintenance coordination. This makes it a varied position and provides a strong understanding of the full property-management journey.
You will report directly to our Head of Tenancy Management and work alongside an experienced team covering tenancy management, maintenance, inspections, compliance and client accounting.
What will you be doing?
· Communicating with landlords and tenants about ongoing tenancy matters.
· Managing emails, calls, diary actions and outstanding cases.
· Monitoring rent arrears and progressing agreed follow-up actions.
· Supporting compliance processes and ensuring important dates and documents are not overlooked.
· Managing routine tenancy requests, permissions and changes.
· Supporting notices, vacates and end-of-tenancy processes.
· Assisting with deposit negotiations and ensuring the relevant evidence is available.
· Reviewing inspection reports and progressing any follow-up actions.
· Keeping clear, accurate and useful notes on our property-management systems.
· Identifying when a matter needs to be escalated to a senior colleague.
· Assessing maintenance reports and gathering the information needed to progress them.
· Liaising with landlords, tenants and contractors regarding access, authority and appointments.
· Chasing outstanding work and ensuring customers receive updates.
· Making sure actions are properly completed rather than simply passed to somebody else.
What are we looking for?
Previous experience within lettings, property management, housing, maintenance coordination or a similar customer-focused role would be helpful.
More importantly, you will need to be:
· Highly organised and comfortable managing a busy workload.
· Confident communicating by telephone and email.
· Calm and professional when dealing with difficult situations.
· Comfortable having firm but fair conversations.
· Able to show empathy without losing sight of what needs to be done.
· Accurate and consistent with record keeping.
· Good at prioritising urgent, important and routine work.
· Willing to take ownership and follow matters through.
· Comfortable working as part of a team while managing your own responsibilities.
· Interested in developing your knowledge of residential lettings and property management.
A Propertymark qualification would be beneficial but is not essential. Training and support will be provided.
