Role Purpose
The Supply Chain Co-ordinator plays a vital supporting role within the Operations team, working closely with and under the direction of both the Production Manager and the Demand Supply Planner. This role exists to provide hands-on co-ordination across purchasing activity and production scheduling — acting as the connective tissue between internal manufacturing, external suppliers, and the wider supply chain.
You will be responsible for the day-to-day operational tasks that keep both production and procurement running smoothly, ensuring the right materials are in the right place at the right time, and that external manufacturing partners are managed to schedule and specification.
Key Responsibilities
Purchasing & Supplier Co-ordination
- Raise and manage purchase orders (POs) for raw materials, packaging, and finished goods in NetSuite, ensuring accuracy and timely placement
- Liaise with external contract manufacturers to confirm production slots, order quantities, lead times, and delivery schedules
- Track inbound deliveries and proactively communicate any delays or discrepancies to the Inventory Controller and Production Manager
- Obtain and compare supplier quotes where required, supporting the Inventory Controller in vendor assessment
- Maintain up-to-date supplier contact records and documentation within NetSuite
- Ensure purchase orders align with agreed pricing, MOQs, and contractual terms
Production Co-ordination
- Support the Production Manager in scheduling and co-ordinating in-house powder manufacturing runs, ensuring materials and packaging are confirmed before production commences
- Create and issue Works Orders and Bills of Materials (BOMs) in NetSuite for in-house production
- Monitor production progress against schedule and flag any risks or deviations in a timely manner
- Co-ordinate with external manufacturers to track production status, request updates, and manage delivery of finished goods into the warehouse
- Assist in preparing production plans and short-interval schedules in collaboration with the Production Manager
Inventory & Stock Management Support
- Support the Inventory Controller in maintaining accurate stock records in NetSuite, including goods receipt and stock movement transactions
- Assist with regular stock counts and cycle counting activities, investigating and resolving discrepancies
- Raise stock transfer and adjustment requests as directed by the Inventory Controller
- Monitor stock levels against reorder points and flag replenishment requirements proactively
Administration & Reporting
- Maintain accurate and well-organised records for all purchase orders, delivery notes, and supplier communications
- Produce regular status reports on open POs, inbound deliveries, and production schedules for review by the Production Manager and Inventory Controller
- Support month-end processes by ensuring all goods receipts and transactions are accurately recorded in NetSuite
- Assist in maintaining standard operating procedures (SOPs) related to purchasing and production co-ordination
Person Specification
Essential
- Demonstrable experience in a purchasing, production planning, or supply chain co-ordination role
- Experience working with an ERP system — NetSuite experience is highly advantageous
- Strong organisational skills with the ability to manage multiple priorities simultaneously
- High attention to detail, particularly when processing orders and managing data
- Clear and confident communicator, comfortable liaising with both internal teams and external suppliers
- Proficient in Microsoft Office, particularly Excel
- A proactive, problem-solving mindset with a willingness to take ownership of tasks
Desirable
- Experience within a food, beverage, or consumer goods manufacturing environment
- Familiarity with Bill of Materials (BOM) management and Works Order processing
- Understanding of contract manufacturing or third-party supplier management
- Knowledge of inventory management principles such as FIFO, cycle counting, and reorder point management
- Experience in a fast-growing, SME environment where processes are still evolving
Pay: £25,000.00-£27,500.00 per year
