Office & Business Support Manager
About the Role
This is an established role within a growing business that has reached a stage where we need structure, organisation, and consistency to support our continued growth. It's a varied and important role sitting at the heart of the business, providing support across administration, HR, compliance, reporting and business operations, working closely with our Director and Operations Manager to keep our internal processes effective, our records accurate, and our people supported.
We are a small business with a small team of engineers, and we're a busy, fast-paced, and sometimes chaotic operation. Things move quickly, priorities can change, and processes are not always documented or streamlined. We are looking for someone proactive who thrives in this kind of environment, enjoys variety, takes ownership, and is comfortable bringing order to disorder, including periods where you may be working alone in the office.
The role is primarily focused on the day-to-day running of the business: customer service, managing bookings, invoicing, and handling incoming calls, alongside overseeing support activities that ensure smooth daily operations across administration, HR and compliance. Introducing systems and procedures, and other supporting tasks, form a secondary but important part of the role. You will become the central point of coordination between customers, electricians, engineers, suppliers, and the Director.
You will be trusted with sensitive business and customer information, and will be expected to handle this with discretion and confidentiality at all times.
Key Responsibilities
The job role is predominantly day-to-day business operations; every day will look a bit different depending on the jobs going on site and the challenges that arise, so no two days look the same.
Day-to-Day Operations
- Managing the company diary, including scheduling appointments
- Preparing quotes and managing invoicing
- Answering and handling incoming telephone calls
- Managing bookings and customer queries
- Acting as a primary point of contact for client enquiries by telephone and email
- Liaising with engineers regarding on-site queries and ad hoc requirements
- Purchase management, including ordering supplies and liaising with suppliers
- Providing ad hoc administrative support to the Director
Business & Office Support
- Creating, implementing, and maintaining company procedures
- Coordinating key business administration activities and internal processes
- Supporting improvements to internal processes and ways of working
- Acting as a central point of contact for business support activities
- Liaising with suppliers and customers where required
- Overseeing office operations, including scheduling, correspondence, document management, and supply procurement
- Managing company vehicle insurance and coordinating vehicle maintenance and servicing
HR Administration
- Maintaining employee records and HR documentation
- Supporting employee onboarding and offboarding processes
- Coordinating annual leave, absence records and general employee administration
Compliance & Reporting
- Maintaining compliance documentation and records
- Maintaining action logs and supporting tracking of agreed actions through to completion
Director Support
- Providing proactive support to the Director
- Supporting business projects and strategic initiatives
Finance
- Supporting with basic bookkeeping and invoice processing
- Reviewing contractor invoices, quotations and supplier costs
Team Supervision
- Leading, supervising and supporting our electricians and engineers
- Allocating workloads and monitoring progress of jobs, repairs and planned works
- Coordinating preventative maintenance schedules and inspections
About You
- Comfortable stepping into a business that is not yet fully organised, happy to take ownership and introduce structure where it's missing
- Confident working independently — as a small business with a small team of engineers out on site, there will be periods where you are the only person in the office
- Naturally organised and proactive, with excellent attention to detail and the ability to manage multiple priorities and deadlines
- A self-starter who enjoys improving how things are done and is keen to share ideas
- Confident communicating clearly with the team, suppliers, and customers, both by phone and in writing
- Able to handle confidential and sensitive information with professionalism and discretion
- Previous experience in business administration, office management, business support or a similar role; social housing experience preferred but not essential
- Prior experience supervising engineers remotely from an office environment is highly preferred
- Confidence using Microsoft Office applications, including Word, Excel and Outlook

The role is office based, and as a small team you should be comfortable working independently, including periods when you may be the only person in the office.

Hours, Location & Contract
- Full time, permanent role
- Based in Solihull, office based
- Around 37.5 hours per week, starting at 8am — the exact hours are flexible around this
- Ideally 5 days a week, though 4 days a week would be considered for an exceptional fit
- Salary is around £30,000 (pro rata), depending on experience and suitability for the role. A salary review will take place after 12 months of service, with increases based on performance.
- 26 days annual leave, plus bank holidays
