Medical Secretary Team Lead - Job Summary
We are looking for an experienced and organised Medical Secretary Team Lead to lead our Secretarial Service. This is a hands-on role, combining leadership responsibilities with medical secretarial duties as part of a small and supportive team.
This is a hands-on role combining medical secretarial duties with responsibility for coordinating workloads, supporting colleagues and clinicians, managing referrals and correspondence, and helping to ensure the smooth and efficient operation of the department.
The successful candidate will be an experienced Medical Secretary with excellent organisational skills, a positive and supportive approach, and the ability to maintain high standards of patient service within a busy Practice supporting over 16,000 patients.
Main Duties & Responsibilities
- Support workload management, annual leave coordination and departmental cover.
- Process referrals using NHS e-Referral Service (eRS) and other NHS systems.
- Manage clinical correspondence, reports and medical letters accurately and within required timescales.
- Support GPs and clinicians with secretarial and administrative tasks.
- Monitor workloads and help prioritise urgent referrals and correspondence.
- Provide day-to-day guidance and support to members of the Secretarial Team.
- Help maintain consistency, quality and efficiency across secretarial processes.
- Build and maintain effective working relationships with hospitals, community services, clinicians, management and colleagues across all Practice departments.
- Maintain accurate patient records and confidentiality at all times.
- Escalate concerns, risks or workflow issues appropriately.
Essential Skills & Experience
- Previous experience as a Medical Secretary within General Practice, the NHS or a healthcare setting.
- Good understanding of NHS referral processes and medical terminology.
- Excellent organisational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage and prioritise workload effectively.
- Good IT skills, including Microsoft Office and clinical systems.
- Professional, reliable and able to work both independently and as part of a team.
Desirable Skills & Experience
- Previous experience supporting or supervising colleagues.
- Experience using eRS, EMIS, SystmOne or similar clinical systems.
- Knowledge of General Practice procedures and workflows.

Hours
This is a permanent position ranging from 15–25 hours per week across 3- 4 days.
Working hours will need to fit around existing team, ranging between 8-9am and 6pm, Monday to Friday, depending on business needs.
