Job Summary
We are seeking a highly organised and efficient Legal Assistant/Secretary to provide comprehensive support to our legal team. The successful candidate will be responsible for managing administrative tasks, preparing legal documents, and ensuring smooth office operations. Responsibilities
- Draft, edit, and proofread legal documents, correspondence, and reports with accuracy and attention to detail.
- Perform audio typing of legal transcripts, dictations, and other documents efficiently.
- Manage calendars, appointments, and deadlines to ensure timely submission of legal filings.
- Maintain organised filing systems both electronically and physically, ensuring easy retrieval of documents.
- Liaise effectively with clients, colleagues, and external agencies via phone, email, and in person.
- Utilise Microsoft Office suite (Word, PowerPoint, Excel, Outlook) to prepare presentations, spreadsheets, and correspondence.
- Assist with IT-related tasks such as setting up new software or troubleshooting basic technical issues. Use of Artificial Intelligence as required.
- Prioritise workload efficiently using excellent time management skills to meet tight deadlines.
- Support the legal team in administrative duties including scheduling meetings, managing incoming correspondence, and handling confidential information discreetly.
Requirements
- Proven administrative experience, preferably within a legal or professional services environment.
- Strong organisational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills—both written and verbal—with a professional demeanour.
- Proficiency in audio typing with fast and accurate keyboard skills.
- Advanced knowledge of Microsoft Office applications: Word, PowerPoint, Excel, Outlook.
- Good IT literacy with the ability to adapt to new software or systems quickly.
- Exceptional time management skills to prioritise tasks effectively under pressure.
- Attention to detail and accuracy in all aspects of work.
- Ability to maintain confidentiality at all times regarding sensitive information.
