About the Role
We are looking for an experienced and highly organised Office Administrator to join our growing team based in Dundee.
This is an excellent opportunity for someone who enjoys working in a busy office environment and takes pride in delivering exceptional customer service. You will play a key role in the day-to-day running of the office, acting as one of the first points of contact for customers while providing administrative support to the wider team.
Key Responsibilities
- Answering inbound telephone calls in a professional and friendly manner.
- Making outbound calls to customers regarding appointments, updates and general enquiries.
- Handling customer queries and ensuring they are directed to the appropriate member of the team.
- Scheduling appointments and maintaining diaries.
- Taking accurate messages and ensuring they are passed on promptly.
- Updating and maintaining the company CRM system with accurate information.
- General administrative duties including filing, scanning, data entry and document management.
- Preparing correspondence and maintaining company records.
- Taking clear and accurate notes during meetings.
- Assisting the management team with day-to-day administrative tasks.
- Providing excellent customer service at all times.
Essential Requirements
- A minimum of 5 years' experience in an office administration role.
- Excellent telephone manner and confidence speaking with customers.
- Strong communication and interpersonal skills.
- Excellent organisational and time management abilities.
- Competent in the use of Microsoft Office, including Outlook, Word and Excel.
- Experience updating and maintaining CRM systems.
- High level of accuracy and attention to detail.
- Ability to prioritise workload and work effectively in a busy environment.
- Professional, reliable and approachable attitude.
- Ability to work independently as well as part of a team.
Desirable Skills
- Experience scheduling appointments and managing multiple diaries.
- Experience taking minutes or notes during meetings.
- Experience working with internal databases or CRM software.
