About the Role
We are looking for an organised, proactive and detail-focused Planning & Transport Administrator to join our busy Transport & Planning department.
This is a key role within the team, supporting the day-to-day coordination of deliveries, transport administration, supplier communication and operational system management. The position is heavily focused on planning administration, while also providing support across the wider transport and logistics function where required.
The successful candidate will be confident working in a fast-paced logistics environment and will have excellent organisational and communication skills, a strong attention to detail and the ability to manage multiple priorities effectively.
Key Responsibilities
As our Planning & Transport Administrator, your responsibilities will include:
- Maintaining and updating the Delivery Date System, ensuring accurate notes, customer updates and operational changes are recorded.
- Keeping the Vehicle Running Sheet (VRS) fully updated with trip information, driver allocations and planning details.
- Ensuring all trips are booked onto the system accurately and within the required operational timeframes.
- Maintaining accurate and up-to-date transport system information, including delivery status amendments, refused deliveries and customer notes.
- Communicating effectively with suppliers, customers and internal departments regarding deliveries, collections and operational updates.
- Escalating and communicating problem deliveries or operational concerns to management.
- Liaising with drivers regarding routes, first drops, delivery issues and operational requirements.
- Coordinating supplier collections and communicating schedules with drivers and warehouse management.
- Liaising with customers regarding delivery issues, delays and service concerns.
- Ensuring all communication is handled professionally and filed appropriately.
- Supporting the wider planning and logistics function wherever operationally required.
Operational Duties
- Ensuring delivery information is accurately reflected across all relevant systems.
- Assisting with operational administration linked to the planning and transport functions.
- Supporting the wider Transport & Planning team to ensure the smooth and efficient running of day-to-day operations.
About You
We are looking for someone who is highly organised, proactive and able to work effectively under pressure.
The successful candidate will have a minimum of 2 years’ experience in an administrative role, ideally within transport, logistics, planning or a similar fast-paced operational environment.
You will be comfortable managing multiple tasks and priorities within a busy logistics environment and will understand the importance of accuracy, clear communication and timely updates.
The successful candidate will demonstrate:

Experience within transport, logistics, planning or a similar operational administration role would be advantageous.
