Dundee Heritage Trust is an independent charity responsible for two of Scotland's most iconic visitor attractions – Discovery Point and the RRS Discovery, and Verdant Works, Scotland's award-winning jute museum. Our venues offer a unique blend of heritage, hospitality and exceptional event spaces, hosting everything from intimate private dining experiences aboard the historic RRS Discovery to large-scale corporate events, weddings and gala dinners within the stunning High Mill at Verdant Works.
We are looking for an ambitious, organised and commercially minded Event & Sales Executive to help grow our thriving Conference & Events business. The Event and Sales Executive will play a key role in driving commercial revenue by proactively generating and converting enquiries for conferences, corporate events, private functions and weddings across both Discovery Point and Verdant Works.
Working within a small Commercial team and reporting directly to the Commercial Director, you will be responsible for managing enquiries from initial contact through to confirmed booking, ensuring every client receives an exceptional sales experience.
You will work closely with the Food & Beverage Operations team to ensure seamless delivery of every event while maintaining excellent relationships with clients throughout the planning process.
Key Responsibilities
Sales & Business Development
- Proactively generate new Conference & Events business through networking, exhibitions, familiarisation visits and relationship building.
- Convert inbound enquiries into confirmed bookings, achieving agreed sales and revenue targets.
- Develop relationships with corporate clients, event agencies, wedding planners and local businesses.
- Attend trade shows, exhibitions and networking events to promote Dundee Heritage Trust's event venues.
- Conduct venue show rounds and client meetings.
- Identify opportunities for repeat business and long-term partnerships.
- Maximise revenue opportunities through upselling food, beverage and additional event services.
Event Planning
- Manage bookings from enquiry through to event completion.
- Produce detailed event proposals, quotations and contracts.
- Prepare accurate event briefs and operational handover documents.
- Liaise closely with clients throughout the planning journey, ensuring expectations are exceeded.
- Coordinate with suppliers where required.
Operational Liaison
- Act as the key link between the client and Food & Beverage Operations team.
- Work collaboratively with operational managers to ensure every event is delivered to the highest standard.
- Attend planning meetings and pre-event briefings.
- Support operational delivery during key events where required.
Reporting & Administration
- Maintain accurate CRM and booking records.
- Produce regular sales reports, conversion statistics and pipeline updates.
- Prepare revenue forecasts and event costings for the Commercial Director and Finance Director.
- Monitor enquiry conversion rates and identify opportunities to improve performance.
- Ensure all contracts, invoices and event documentation are completed accurately and on time.
Person Specification
Essential
- Previous experience in Conference & Events sales, hospitality sales or venue sales.
- Proven ability to convert enquiries into confirmed bookings.
- Experience managing multiple events simultaneously.
- Excellent communication and relationship-building skills.
- Strong commercial awareness with a proactive sales mindset.
- Exceptional organisational and time management skills.
- Experience preparing quotations, proposals and event documentation.
- Ability to work collaboratively across departments.
- Confident using Microsoft Office and CRM or booking systems.
- Flexible approach to working evenings and weekends.
