About the Role
We are looking for a fast-paced, organised, and technically minded Small Works & Remedials Estimating/Quoting Administrator to join our team. In this role, you will be the driving force behind turning routine maintenance defects, engineer site reports, and small works requests into clear, accurate, and profitable customer quotations across fire alarm systems, emergency lighting, and associated life safety solutions.
Key Responsibilities
· Report Review & Triage: Review engineer service sheets, commissioning logs, and defect reports to identify required remedial actions, failed components, and system non-compliances.
· Costing & Quotation Generation: Calculate accurate material, labour, access equipment, and subcontractor costs to build competitive quotes using our internal pricing matrices.
· Supplier Sourcing: Check stock availability and source pricing for replacement parts, detectors, call points, batteries, panels, and emergency light fittings with specialist distributors and manufacturers.
· Client Engagement & Follow-Ups: Issue quotes directly to facility managers, property management agents, and duty holders; follow up outstanding quotes to secure approvals.
· Operational Handover: Once approved, convert quotes into confirmed jobs within our service management system and liaise with the scheduling team for swift engineer booking.
Requirements & Skills
· Proven experience in a quoting, service administration, or small works desk role within the Fire & Life Safety, M&E, or Building Services sectors.
· Sound working knowledge of standard fire and life safety components and standards (e.g., BS 5839-1, BS 5266-1, BAFE SP203-1) would be an advantage.
· High proficiency in service management software (e.g., Uptick, simPRO, Clik, or similar) and Microsoft Excel.
· Commercial acumen with a solid understanding of labour rates, margins, and parts markups.
· Confident communication skills, with the ability to explain technical remedial requirements to non-technical clients.
