We are seeking a dynamic and highly organized Operations Administrator to join our team! Hours: 08.00 -12.00 Monday - Friday
Reports to: Operations Manager
DUTIES AND KEY RESPONSIBILITIES
HUMAN RESOURCES
· Support the recruitment process and onboarding of new staff in line with legislation and good practice.
· Support and co-ordinate annual leave request in line with service policies to ensure adequate cover and regular breaks for staff.
· Provide support to schedule meetings such as team meetings, appraisals etc. and where requested provide notes of meetings.
· Support HR processes and minute HR meetings, such as return to work/attendance meetings.
· At times be the first point of contact for staff with simple enquiries.
SERVICE SUPPORT
· Answer the main line phones and the dedicated service numbers supporting co-ordinators and seniors by assisting with customer enquiries and client support.
· Assist Help@Home and Outreach Co-ordinators to fulfil weekly staff/client schedules.
· Process staff absences and liaise with clients and staff cover to ensure continued service.
· Support client referral pathways ensuring all required paperwork is received and processed as part of new clients onboarding.
· Maintain client records in line with role and responsibilities.
· Support service audits and produce agreed reports as part of Quality Assurance processes.
· Any other “ad-hoc” duties
FINANCE
· Produce Cashless shopping reports, ensure cards are topped up, ensure spends are accurately recorded and receipts submitted by staff to support client billing.
· Monitor the Ringo account and ensure this has sufficient funds, produce reports required for client billing.
· Produce required information and reports for invoicing purposes.
· Support the checking of staff expenses
· Work closely with finance team to ensure the processes are efficient and robust.
GENERAL RESPONSIBILITIES
- Assist the Operations Manager in the development and implementation of efficient and effective administrative processes and systems.
- Work as part of wider office team
- Be flexible and carry out other associated duties as may arise, develop or be assigned in line with the broad remit of the post.
- Abide by organisational policies, codes of conduct and practices.
- Maintain and improve competencies through continuous training and development.
- Treat with confidentiality any personal, private or sensitive information about individual organisations and or clients or staff etc
