Job Summary
To support the Practice Manager in the effective administration and CQC implantation of the practice. The PA to Practice Manager will work under the direction of the Practice Manager, striving to enhance several key systems in both clinical and administrative areas.
As this role will have access to a higher level of confidential data in the course of their employment, there is an expectation that the post holder will always maintain the highest level of confidentiality and integrity. Sensitive information could be from either internal sources, or from external partner organisations.
The PA will also champion quality and improvement programmes, confidentiality, collaborative working, service delivery, and learning and development, promoting a positive working environment. They will work closely alongside the Practice Manager and Deputy Practice Manager.
In addition, the post-holder will support the multi-disciplinary team, providing administrative support as required, in line with the needs of the organisation. Duties can include, but are not limited to, supporting the administration and receptionist teams with patient registration, booking appointments, the processing of information (electronic and hard copy) in a timely manner and in accordance with current policies.
The post-holder will support staff with the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
The post-holder will be an integral part of the general practice team.
Responsibilities
· Support the Practice Manager as required with projects, systems and procedures
· Undertake tasks as directed by the Practice Manager in areas of change management and continuous improvement
· Provide key performance information as requested
· Maintain the highest levels of confidentiality due to the nature of the role and with being exposed to a greater level of confidential material and data
· Support the Practice Manager in monitoring compliance with health and safety legislation, providing leadership and direction for staff
· Contribute to the development, implementation and embedding of an effective practice training programme for all staff in line with CQC expectations
· Coordinate internal and external meeting arrangements, preparing agendas and producing minutes for meetings
· Support the Practice Manager in the marketing of the practice
· In conjunction with the Practice Manager, set and monitor performance targets, identifying areas for improvement to enhance patient services
· Support all clinical staff with general administrative tasks as requested
· Support the PM & Deputy Manager updating and reviewing policies.
· Be an integral part of the general practice team
· Undertake all mandatory training and induction programmes
· Contribute to and embrace the spectrum of clinical governance
· Maintain a clean, tidy, effective working area always
· Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a
· regular basis so that new objectives can be agreed
· Manage asset registers as directed by the Practice Manager
· Maintain a working knowledge of ICB initiatives
· Support and participate in shared learning
· Keep up to date with all CQC changes
Qualifications
- Proven administrative experience within a healthcare or regulatory environment preferred
- Strong organisational skills with the ability to manage multiple tasks simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar accounting software is advantageous
- Excellent data entry skills with high accuracy and attention to detail
- Good phone etiquette and professional communication skills
- Demonstrated ability to work independently as well as part of a team
- Prior office experience including filing, record keeping, and general administrative duties
- Typing speed of at least 60 words per minute is desirable
