Job Title: Sales Coordinator
Hours: 37.5 hours per week
MSA Foams is a bespoke manufacturer of foam components specialising in high-quality, custom solutions for diverse industrial and commercial applications.
Purpose of Role
In this full-time, permanent, office-based role you'll provide administrative support to the sales team, ensuring smooth and timely handling of customer Purchase Orders and customer order queries. This role is critical in maintaining accurate records and delivering timely updates and responses to customers, and supporting the overall efficiency of the sales function.
The Customer Support Administrator will work within the Sales Office Team. The main touchpoints will be with Customers, Peli Sales Co-ordinators, and the Production Support Co-ordinator.
KEY RESPONSIBILITIES
Customer Purchase Orders:
- Process new purchase orders accurately and promptly.
- Deal with current purchase orders enquires promptly ensuring any required actions are undertaken as required and the customer updated.
- Escalate any issues accordingly (Job Change Alerts).
- Update the Purchasing Co-Ordinator with any materials or components required that are not in available stock.
- Escalating any orders onto the Urgent Line
Encore Record Management:
- Ensure part numbers are entered accurately onto our Enterprise Resource Planning software (Encore) and that any changes are updated and maintained accurately and promptly.
- Create a bill of materials and assembly information accurately and in line with the MSA quotation.
- Ensure that shipping dates are accurate and kept updated
- Create and maintain customer records on Encore.
Customer Communication:
- Respond promptly to customer queries and provide updates on job status.
- Escalate customer complaints to the Sales Office Manager
REQUIREMENTS
- A highly organised individual who can stay calm under pressure and contribute to a positive team environment.
- A clear and confident communicator with excellent phone and interpersonal skills.
- CRM experience (Salesforce preferred)
- Proficient in the Microsoft Office suite
- Passionate about providing exceptional customer service across all channels (written, phone, and face-to-face).
- A detail-oriented individual with strong written skills for clear communication.
- A team player who enjoys helping others and thrives in a collaborative environment.
- Energetic, committed, and driven, with a willingness to be flexible and contribute to the company's growth.
Administrative experience is a plus.
