Strabane & District Caring Services is seeking an Administrative Assistant ( Maternity leave cover) to work Monday-Friday , 9am-3.30pm. This will be a fixed-term contract for approx. 7 months.
Strabane & District Caring Services is a community based non-profit organisation providing domiciliary health care and other services to the community.
Key Tasks:
1. Provide admin support to Domiciliary Care, Payroll and other departments.
2. Process incoming/outgoing telephone calls and maintain accurate records.
3. Process reports in relation to wages.
4. Respond to staff enquiries relating to wage payments.
5. Calculate domiciliary care worker mileage.
6. Data input to software package.
7. Maintain records.
8. General administrative duties such as typing, photocopying, scanning, sending emails, filing, sorting mail, stock take etc.
9. Cash handling duties when required.
10. Perform reception duties, when required, in an efficient, professional and courteous manner.
11. Adhere to procedures relating to the proper use and care of equipment and material for which the role has responsibility.
12. Establish and maintain effective working relationships with co-workers, supervisors and the general public.
13. Maintain regular consistent and professional attendance, punctuality, personal appearance and adherence to relevant health and safety procedures.
Any Other Duties
This description of the post is intended to provide a basic outline of the primary functions, the post-holder will in addition have additional responsibilities agreed in accordance with his/her Manager. It is also anticipated that the post-holder will be required to be flexible when responding to operational needs of Strabane & District Caring Services and this will also from time to time create variance from the role described.
Qualifications
· Relevant qualification in Administration (Level 2 or above) OR Minimum 2 years experience working in an administrative/receptionist role
· Maths & English GCSE (Grade A – C or equivalent)
Essential Experience:
· Minimum of one-year experience working in an administrative /receptionist role
· Demonstrate proficiency in the use of IT and software package
Desirable:
· Cash Handling duties
· Maintaining databases and spreadsheet
· Payroll
