Customer service specialist (Saturdays and cover when required)
Overview
We are looking for a professional, friendly, and organised Receptionist to join our team. As the first point of contact for patients and callers, you will play a key role in delivering excellent customer service and ensuring the smooth day-to-day running of the front desk.
The ideal candidate will have strong communication skills, a flexible and reliable approach, and a high level of attention to detail. You will thrive in a small, supportive team environment where a welcoming manner and strong organisational skills are highly valued.
Previous experience is desirable; however, full training will be provided for the right candidate.
Main Duties
This is a varied part-time role combining front desk, telephone, and administrative responsibilities. You will be responsible for managing patient interactions, coordinating appointments, and supporting the wider team to deliver high-quality care.
Key Responsibilities
- Greet patients and visitors in a professional and friendly manner
- Manage appointment bookings, cancellations, and patient queries
- Handle incoming calls and respond to enquiries efficiently
- Maintain accurate patient records using clinical systems (e.g. Nookal/PPMS)
- Process payments and administrative requests
- Liaise with clinicians to support patient care
- Ensure confidentiality and compliance with data protection standards
- Scan and upload patient documentation to healthcare records
- Provide reception cover during staff absences
- Open and close the practice, maintaining security protocols

Desirable Criteria
- Previous experience in a receptionist or customer service role
