Overview
We are looking for a confident, outgoing and reliable Admin Assistant to join our small and friendly office team.
This is a varied role that would suit someone who already has experience working in an office environment and is comfortable speaking to people both over the phone and in person.
As this is a small office, the successful candidate will work closely with the Office Manager and occasionally the Director. We are therefore looking for someone who is sociable, approachable and able to hold a conversation. You will need to be comfortable working independently while also being part of a small team.
Duties
- General day-to-day office administration
- Reconciling accounts and transactions using Xero
- Assisting with basic accounting and financial administration
- Liaising with companies, contractors and other relevant parties regarding properties we manage
- Making and receiving telephone calls and dealing with enquiries professionally
- Filing and maintaining organised records
- Managing emails and general correspondence
- Assisting the Office Manager with administrative tasks
- Keeping office records and paperwork up to date
- Helping to maintain a clean, tidy and organised office environment
- Providing general support to the Office Manager and Director when required

The Role
This is initially a part-time position, however, full-time hours can be discussed for the right candidate if required.
Because we are a small office, this isn't a role where you'll be sitting quietly doing the same task all day. You'll be speaking with companies and contacts, dealing with queries, helping with properties, assisting the Office Manager and getting involved in the general running of the office.
We're looking for someone who is confident, personable and doesn't mind picking up the phone.

Qualifications & Experience
Essential:
- Previous experience working in an office-based administrative role
- Good written and verbal communication skills
- Confident speaking to customers, companies and contractors over the telephone
- Basic understanding of Xero
- Good computer skills and confidence using email and Microsoft Office
- Good organisational and filing skills
- Strong attention to detail
- Ability to manage multiple tasks and prioritise workload
- Reliable and punctual
- Professional and friendly telephone manner
Desirable:
- Previous experience using Xero for reconciliations
- Experience dealing with contractors and suppliers
- Basic understanding of bookkeeping/accounts
- Experience handling invoices, payments and financial records
- GCSEs or equivalent in English and Maths
- Any relevant administration, business, accounting or property-related qualification
Additional Requirements
Due to the size of our office, the successful candidate will spend the majority of their working day working alongside the Office Manager, with the Director also present at times.
It is therefore important that you are comfortable working closely with others, able to communicate openly and confidently, and happy to be involved in general office tasks.
You will also be expected to contribute to maintaining a clean, tidy and organised working environment.
Additionally, you must be able to follow instructions and take advice or constructive criticism from the Office Manager as she is young.
Hours: Part-time initially, with full-time hours available for the right candidate if required.
Experience: Minimum 1 year of office-based administration experience preferred.
Xero experience: Basic knowledge required; training can be provided for the right candidate where necessary.
Education: GCSE English and Maths or equivalent preferred.
