Geovista is a Conwy based design, manufacturer and supplier of Geophysical Logging instruments for the international mining and geotechnical industries.
We are seeking a highly organised and detail-oriented Administrator to join our team. This role offers an excellent opportunity for individuals with strong office experience and proficient computer skills to contribute to the smooth operation of our organisation. The successful candidate will be responsible for managing administrative tasks, supporting various departments, and ensuring efficient workflow within the office environment. Prior experience in clerical duties and familiarity with essential software tools are highly desirable. Your contribution will help us maintain high standards of service for our clients.
Duties
- Manage day-to-day administrative operations, including filing, data entry, and document management
- Handle incoming calls and emails with professional etiquette and direct enquiries appropriately
- Maintain organised records using Microsoft Office programmes, MRP and QuickBooks
- Handle national and international shipping and customs clearance
- Follow up account debtors, prepare statements and document VAT records
- Support accounts payable and receivable processes through data entry and record keeping
- Coordinate communication between departments to ensure seamless information flow
- Process occasional special client payment terms such as Letter of Credits
- Keep accurate records of Import and export customs documentation (IPR, exports, RGR)
- Obtain Certificates of Origin / EUR1 / Insurance documents
Requirements
- Proven office experience or administrative background with demonstrated organisational skills
- Strong computer literacy, including proficiency in Microsoft Office (Word, Excel, PowerPoint), and QuickBooks accounting software
- Excellent organizational and multitasking skills
- Good organisational abilities with keen attention to detail
- Effective communication skills with professional phone etiquette
- Experience in data entry and managing administrative tasks efficiently
- Ability to maintain confidentiality of sensitive information
- Prior clerical experience is advantageous but not essential; training will be provided where necessary

Pay: £25,000.00-£35,000.00 per year
