We are looking for a capable and enthusiastic individual to join our team in an administrative coordination role. The successful candidate will have a logical and proactive attitude to the challenge of monitoring the progress of quotes to order and payment, and an methodical and organised approach generally to all related tasks.
The role involves client, supplier and contractor liaison so an outgoing and confident personality is a must.
Based in Kenilworth, we are Interior Designers, Architects and Project Managers primarily to the leisure industry. Our offices can be lively and fun though also hardworking and focused.
This role is office based, 5 days per week though working hours are open to discussion.
Having project coordination or finance experience would be an advantage as is the ability to demonstrate exceptional administration and organisational skills.
Job Summary
We are seeking a proactive and detail-oriented Project Administrator to join our team. In this vital role, you will support project teams by coordinating activities, managing documentation, and ensuring seamless communication across all project phases. Your leadership and organizational skills will help drive project efficiency, foster collaboration, and uphold our standards of quality and timeliness.
Key Responsibilities
- Project and Planning Administration
- Programming of Project Delivery
- Understanding and issuing of project documentation
- Coordination of budgets
- Coordinating drawing packages
- Liaising with clients
- Maintaining project and client files
- Coordinating Purchase Orders, budget reconciliation and ensuring contractor and supplier submissions are processed and recorded accurately
- Monitoring job specific queries
- Coordination of team’s workloads and ensuring projects are adequately resourced
- Responding to and answering telephone calls and dealing with queries as they arise
- Assist in other elements of the business when required
Personal Attributes
- Excellent written and communication skills
- Strong IT Skills- specifically Microsoft Office Excel/Word/Outlook
- Attention to detail with a proactive and methodical approach
- Excellent organisational skills
- A calm & helpful manner and a team player
- Experience with budget handling project administration is advantageous
- Proven effective manager of their own time who will take ownership for completion of their work
- Ability to form strong working relationships
- Fluent written and spoken English
