Overview
We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will play a vital role in maintaining smooth office operations, supporting administrative functions, and ensuring effective communication across departments and with clients. Duties
- Manage day-to-day administrative tasks, including filing, data entry, and document management
- Answer and direct phone calls with professional phone etiquette
- Schedule appointments, meetings, and maintain calendars for staff members
- Prepare correspondence and reports using Microsoft Office and Google Workspace tools
- Process invoices and financial records using QuickBooks or similar accounting software
- Assist with incoming enquiries and provide exceptional customer service to clients and visitors
- Maintain organised electronic and physical filing systems creating O&M Manuals for projects
- Support team members with various administrative projects as required
Requirements
- Proven office experience or administrative experience in a professional setting
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets)
- Experience with QuickBooks or similar accounting software is desirable
- Excellent organisational skills with the ability to prioritise tasks effectively
- Fast and accurate typing skills for data entry tasks
- Good communication skills, both written and verbal, with professional phone etiquette
- Attention to detail and the ability to work independently as well as part of a team
- Knowledge of clerical procedures and office management systems
