Responsibilities
- Liaising with Landlords and contractors to arrange maintenance works
- Ensuring all procedures are followed and accurate record keeping is maintained
- Manage front desk duties, including greeting visitors and handling phone inquiries with professional etiquette
- Maintain organised filing systems, both digital and physical, to ensure quick access to important documents
- Perform data entry tasks accurately using tools like Microsoft Office, Google Workspace, and QuickBooks
- Maintaining regular accountancy reconciliations for receipts and payments
- Schedule appointments, meetings, and coordinate calendars for team members effectively
- Assist with invoicing, billing, and basic bookkeeping responsibilities using QuickBooks software
- Handle clerical tasks such as photocopying, scanning, mailing, and preparing correspondence
Skills
- Proven office experience with a strong understanding of administrative procedures
- Excellent computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry software
- Strong organisational skills with the ability to prioritize tasks efficiently in a busy environment
- Exceptional phone etiquette and communication skills to interact professionally with clients and team members
- Experience with QuickBooks or similar accounting software is a plus
- Demonstrated clerical experience with attention to detail and confidentiality
