Generator Power has experienced rapid growth in recent years and is undergoing further expansion providing an excellent opportunity for a Depot Administrator to join our team at our Stevenage depot
Duties/Responsibilities
- Responsible for all administration within the depot.
- Booking in/out of kit and ancillaries.
- Due to a large contract and SLA of 2.5 hours the updates report picking list and allocation must be done at a fast and efficient pace.
- All off hires and refuels that are coming on and off during the day must be reported into the group asap as they are all on the road and updates need to be posted asap
- All general hires must also be put onto the board asap, so we know if we have the right kit for the job and this gives us time to source what is required, this also goes for planned jobs on the large contract.
- Ensure all on/off hire orders are taken in detail and processed correctly.
- Assist the depot manager ad foreman in allocating engineers to jobs.
- Processing holiday forms and sickness.
- Create, input and ensure accuracy of orders onto the company InspHire system to minimise account queries and potential credits.
- Produce and maintain a manual complete contract file, containing all relevant paperwork including signed delivery and collection notes.
- Advise Transport Department of any necessary movements within a timely manner.
- Answer all incoming calls within 3 rings in a polite and professional manner as trained.
- Ensure own individual knowledge is enhanced by constantly aiming to learn/improve and taking on board training as necessary.
- Achieve all targets and KPI’s that are set for individuals/Administration team – example month end target for posting invoices 8th of each month.
- Check daily all off hires due from awaiting off hire report and update Line Manager of progress if there are any delays.
- Any customer queries must be dealt with quickly and efficiently.
- Observe and follow all company policies and procedures.
- Any amendments for Audit purposes are to be dealt with in the time scale given.
- Line Manager or Director’s requests are to be completed within the same day or within timescale provided by them.
- Liaise and communicate effectively with all levels of staff.
