Position is based in Blackburn, Aberdeenshire
The Logistics Administrator is responsible for assisting Admin & Logistic duties as assigned. This includes but is not limited to supporting operational activities; creating delivery paperwork, edit/amend PO’s and job cards, create returns, create custom import and export entries, complete sales invoicing and assist with office duties as assigned.
Primary responsibilities:
- Relevance and accuracy of information available to Operations
- Excel : maintain and update financial trackers, create POs / DT / CI
- Create tool file for new tools and update system with tool information
- Close out job cards on once service sheet is received from Workshop
- Update system to reflect tool modifications and grouping changes etc
- Collate, scan, save and file all field paperwork
- Create and record import and export records
- Create Sales invoicing and ensure attention to detail
- Expedite operational purchases
- Update job tracker / cost tracker with expenditure
- Create year end stock reports for Finance
- ·Assist with travel for employees and ensure correct documentation to support is sent in a timely manner
- Organise transport for both clients and suppliers using varied methods
- Maintain an update tool certification. Also, for loadouts
- Liaise with external inspectors
- Assist office staff with admin duties as required
QHSE:
- Cooperate fully with Reservoir Group to help aid achievement of our QHSE policy and objectives and to carry out work as per the requirements of the QHSE management system;
- Attend and participate in regular QHSE meetings, awareness sessions and training;
- Familiarise themselves with the QHSE management system and location of documentation and resources;
- Work diligently and taking care of the environment, the health and safety of themselves and others who may be affected by your acts or omissions;
- Maintain a clean & orderly work area at all times, and actively participate in QHSE improvement activities;
- Report all hazards, incidents and non-conformity, comply with all QHSE rules and requirements and not interfere with any QHSE resources provided;
- Intervene and STOP any work they feel is unsafe, may cause harm to a person or the environment or could result in non-conformity.
- Send out questionnaires to approved suppliers when ISO certificates are due for renewal
- Update spreadsheet and record new ISO certificates
- Liaise with new suppliers for completion of new supplier form
Essential Competencies
- 1+ year industry experience
- Good organisation skills
- High attention to detail and accuracy
- Good time management skills
- Good communication skills
- SAP and / or Odoo
- Microsoft Excel basic understanding
- Basic knowledge of customs
