Overview
HMDPM is looking for a highly organised part-time Office & Scheduling Coordinator to help manage our property maintenance diary, arrange appointments, and keep communication flowing between property managers, tenants, customers, site contacts, and our team.
This is a practical office-based role for someone who is calm, organised, confident on the phone, and good at keeping clear notes. You will help make sure jobs are booked in properly, access is confirmed, and the team knows where they need to be.
Duties
- Manage and update the company diary and appointment schedule
- Contact tenants, site contacts, customers, and property managers to arrange access
- Book, confirm, reschedule, or cancel appointments when needed
- Respond to customer and property manager enquiries by phone and email
- Keep clear notes on work orders, appointments, access details, and customer updates
- Liaise with the internal team to check availability and job prioritie
- Help make sure urgent jobs are flagged and dealt with quickly
- Send appointment confirmations and updates to customers, tenants, or site contacts
- Chase outstanding replies where appointments or access are not yet confirmed
- Assist with general office administration, inbox management, and data entry
- Support the team in keeping jobs organised from enquiry through to completion
Requirements
- Previous office, admin, customer service, lettings, property, or scheduling experience preferred
- Strong organisational skills and good attention to detail
- Confident speaking to customers, tenants, site contacts, and property managers by phone and email
- Able to manage several tasks at once without losing track
- Good written communication skills
- Comfortable using email, calendars, and basic office software
- Friendly, professional, and reliable
- Able to work independently as well as part of a small team
- Experience in property maintenance, trades, lettings, or facilities management would be helpful but is not essential
Pay: £13.50-£14.50 per hour
