The Role
The Operations & Logistics Coordinator supports the smooth running of warehouse, production, and logistics activities. The role ensures orders, stock movements, carrier interactions, and production workflows are executed accurately and on time. It requires strong organisational skills, attention to detail, and confidence working within internal computer systems and physical warehouse processes.
Key Responsibilities
- Pick Notes — Print and distribute pick notes to the warehouse, ensuring all relevant information (e.g., required delivery dates) is accurate and communicated clearly.
- Delivery Notes — Run and post delivery notes, maintaining competence in both internal systems (NAV) and the physical documentation workflow.
- Carrier Bookings & Labels — Execute carrier bookings and label creation within internal and carrier systems/apps and oversee the physical dispatch process.
- Returns Management — Schedule, process, and resolve returns, understanding the full returns workflow from initiation to completion.
- Booking In — Book in purchase orders via internal systems (NAV), raising discrepancies promptly and accurately.
- Production Schedule Support — Understand the production schedule and plot in production requirements when requested.
- Production Process Knowledge — Develop a strong understanding of the full product journey and associated production processes.
- Works Orders — Create and complete Works Orders within internal systems (NAV) when required.
- Stock Adjustments — Raise stock adjustments when necessary, ensuring accuracy and traceability.
- Carriage Quotations/Monitoring — Calculate carriage costs for sales office enquiries using agreed rates and carrier terms. Maintain and update carriage pricing within our internal systems to support pricing reviews.
- Reports — Run the weekly outstanding order book, update comments, verify sales orders have printed, and escalate stock issues/concerns. Run Free stock reports and any other reports as requested by the line manager.
- Installation (Climbing Frame) Orders — Liaise with the sales office and occasionally the installers regarding special requirements (e.g., bespoke wall pads) and ensure delivery windows are met.
- Carrier Relationships — Build strong working relationships with carriers and have a good understanding of the varying terms in place.
- Packing Supplies — Monitor, request that purchase orders be raised, and maintain adequate levels of packing materials.
- Bill of Materials Adjustments — Support team leaders with raising Bill of Materials adjustments when required.
- Stock Checks — Where required, assist the General Manager in conducting one‑off, weekly, and annual stock takes, ensuring accuracy and clear reporting.
- General Support — Provide operational support to the General Manager as required
Required Skills & Competencies
· Communication — Clear communication with warehouse, production, carriers, and sales office.
· Organisation — Ability to manage multiple tasks, deadlines, and priorities.
· Attention to Detail — High accuracy in documentation, stock handling, and data entry.
· Problem Solving — Ability to identify issues early and escalate appropriately.
Desirable, but not essential
· ERP (NAV – Business Central) Competency — proficient in Business Central or experience in using WMS.
· Forklift Licence – valid forklift licence (Reach)
· Health & Safety – an understanding of health and safety within a manufacturing environment
