About the role
We are seeking a highly organised and detail-oriented Claims and Logistics Administrator to support daily operations across claims management, logistics coordination, and purchasing cover. This role is key to ensuring accurate handling of claims, smooth shipment processes, and effective communication with internal teams and external partners.
The successful candidate will also provide weekend support on a rota basis to ensure continuity of operations.
Claims Management (Customer, Supplier & Airline) – Sole Responsibility
- Raise and manage customer, supplier, and airline claims relating to discrepancies, damages, losses, and quality issues
- Investigate cost, quality, and invoice discrepancies across all claim types
- Accurately track claims and maintain complete audit trails
- Liaise with customers, suppliers, airlines, and internal stakeholders to ensure timely and efficient resolution
- Monitor claim progress and follow up to ensure closure within required timeframes
This is a critical role within the business. As a perishable goods importer, we handle products that are highly sensitive to damage due to factors such as temperature variations, incorrect packing at origin, product age, and transit conditions.
You will be expected to develop a strong understanding of these issues over time, using customer-provided images and information to identify root causes. This will enable you to gather accurate details from customers and provide suppliers with clear, well-documented claim submissions.
The role also provides valuable insight into customer experience and product performance, supporting the wider team. Feedback from claims helps inform purchasing decisions, allowing buyers to adapt sourcing strategies based on recurring issues with specific products or suppliers.
Logistics & Shipment Coordination – Supporting the Logistics Lead
- Coordinate incoming shipments and ensure all documentation is accurate and complete
- Produce and distribute flight plans and shipment information
- Communicate flight details to clearing agents, transport providers, and Transflor
- Monitor shipments and proactively address delays or issues
- Check all supplier invoices to match what has been shipped
- Monitor Temperature of shipment and carry out procedure for any that have been exposed to temperature outside of the parameters.
- Update and maintain accurate records within internal systems, including Florisoft
Purchasing Support (Cover)
- Liaise with buyers prior to producing purchase orders
- Issue purchase orders to farms and suppliers and chase confirmations
- Update systems with confirmed orders and incoming stock information
- Provide cover for purchasing activities when required
Weekend Cover (1 in 3 Weekends)
- Provide weekend cover on a rota basis to monitor logistics operations and ensure continuity of service
This responsibility is shared across the team on a rota basis, with time worked returned as time off in lieu.
The role involves monitoring the logistics email inbox over the weekend to ensure all shipments have departed, arrived, cleared customs, and been delivered to the warehouse as expected. While most weekends run smoothly, the on-duty team member will be responsible for identifying and resolving any issues that arise during this time.
Skills & Experience
- Previous experience in a logistics, administration, or operations role is desirable but not essential
- Experience handling claims (customer, supplier, or airline/logistics) is advantageous but not required
- Strong attention to detail with the ability to manage multiple tasks effectively
- Excellent communication skills, both written and verbal
- Confident in liaising with internal teams and external partners
- Proficient in Microsoft Office

Job Type: Full-time
Pay: £27,000.00-£30,000.00 per year
