Position
Operations Administrator
Our Team
You will be working within the Operations team to manage, maintain & develop Bauer’s Out of Home advertising portfolio, reporting to the Operations Manager.
The Role

As part of the Operations team, the Operations Administrator will proactively provide administrative support to the team and ensure effective planning is in place.
The role involves working closely with both internal and external stakeholders to support the delivery of our services and actively organise schedules, stock, IT systems and reports. The Operations Administrator will collaborate with the wider Operations team to ensure the effective and timely management of resources, information flow and team workload to ensure we met our service levels and standards.
As an Operations Administrator your mission will be to embody Bauer’s values and contribute to the exciting future of our business. You will be crucial part of a dynamic team, where your efforts directly align with our vision, pushing boundaries of excellence every day.
You will be responsible for all aspects of administrative support, including:
- Preparing accurate & detailed work orders in conjunction with Operations Manager & issue timely instructions to the Operations team & Sub Contractors - ensure completion of works with regular follow up as required
- Receive information, consolidate reports & collate feedback for further actions on all aspects of Operations
- Manage multiple databases including Garden Maintenance, Electrical Works, Structural Maintenance, Annual Inspections, Stock, etc.
- Assist in preparation of construction plans & associated packages - ensuring all documentation is updated & included as necessary
- Alongside the Operations Manager review & update the H&S documentation as required
- Assist with stock management - monitoring deliveries of goods inwards & outwards
- Ensuring that PO’s are allocated for all orders & hire equipment is organised & off hired as needed
- Build strong positive working relationships and communication with clients and internal team to ensure a joined-up understanding of issues and that all processes/ issues are recorded
Your Skills
- At least 1 years relevant working experience in a similar business role
- Excellent administration, planning and organisation skills
- IT literate & confident when using Microsoft packages including Excel & Outlook - ability to learn bespoke systems
- Excellent attention to detail with strong numeracy and accuracy
- Problem solver with strong team ethos and ability to develop effective working relationships internally and externally
- Capable of working individually while maintaining good and effective communication with colleagues and other contacts.
- Ability to work in a fast-paced work environment with changing priorities & deadlines

Working Pattern and Location
- A fulltime permanent position of 40 hours per week, based in Belfast
