Based in our roastery on the outskirts of York, you will be a key member of the team helping to ensure the smooth running of daily operations. This is a broad and varied role in a fast paced environment, excellent time management skills are essential, as is experience with Xero, our accounting software and extensive accountancy experience.

We are an artisan coffee roaster operating out of our roastery in Nether Poppleton, suppling wholesale and retail speciality coffee to businesses across the UK, as well as running an online web shop. Coffee knowledge is not essential but a keen interest would be beneficial.

Job Description
Duties will include but not limited to:
- Processing orders and invoices using Xero accounting software
- Managing purchase and sales ledgers and preparing sundry account reports
- Reconciling bank transactions, sending monthly account statements
- Using Shopify, PayPal, and Braintree to track orders, reconcile payments, and ensure accuracy across financial systems
- Maintaining accurate digital and physical office records, manage office supplies, and support weekly stock takes and product ordering
- Organise shipments and courier services, ensuring timely and accurate dispatch of customer orders
- Handle customer communications including answering inbound calls, processing orders, resolving queries, managing multiple email inboxes, and conducting outbound calls to wholesale customers
- Ensuring account information is up to date, monitoring wholesale customer payments in line with agreed terms, and actively working to recover late payments and outstanding debts swiftly
- Chasing overdue supplier invoices whilst maintaining strong supplier relationships
- Support the in-house engineer with appointment booking, calendar management, and ordering of parts
- Overseeing company certifications and membership renewals and coordinating compliance processes
- Manage customer databases and contact calendar, ensuring excellent client relationships and services
- Provided a wide range of general office administration and organisational support
- Coordinate & Report on company processes including: fire, food safety, health & safety
Relevant experience
Working as a part of a team in a fast-paced working environment.
Work in a role within a similar company with both B2B and B2C customers.
Good experience in general accountancy.
Skills
Team player, diligent, good interpersonal skills, IT competent, excellent numeracy skills.
High level or organisational skills.
Previous knowledge of coffee and tea is not necessary, but an interest would be advantageous.
Expected hours: 40 per week
