Wild Water Group is Wales’ leading provider of temperature-controlled warehousing and distribution services, with a cold store network spanning South Wales and England. We are looking for an experienced Customer Service Administrator to join our busy Cardiff team in an exciting permanent role.
About the role
This is a varied and customer-focused role supporting the smooth coordination of our operations. You will be a key point of contact for internal teams, customers, visitors and suppliers, helping to keep day-to-day administration organised, accurate and professional.
What you’ll be doing
- Taking bookings for deliveries and collections.
- Handling incoming and outgoing emails, telephone calls and post.
- Welcoming visitors to the Cardiff site, arranging refreshments where required and ensuring visitor procedures are followed.
- Booking travel and accommodation in line with the Expenses Policy, referring to the Operations Director where needed.
- Ordering warehouse, office and general supplies.
- Managing workwear stock levels across all sites, processing requests and ensuring sufficient availability.
- Maintaining accurate, well-presented records and ensuring documents are scanned and filed correctly.
- Overseeing the Reception area so it remains presentable, welcoming and professional.
- Supporting ad-hoc administrative tasks as requested by management.
- Taking responsibility for your own health and safety and that of others.
- Maintaining confidentiality, data protection standards and compliance with Group policies and procedures at all times.
The role may evolve over time to reflect the changing needs of the Group, so a flexible and positive approach will be important.

What we’re looking for
- Strong numeracy, literacy and digital skills.
- Previous customer service experience.
- Experience in business administration, including supporting accounts or operational teams.
- Confidence using office systems and maintaining accurate records.
- A full and valid driving licence with use of a vehicle is desirable, but not essential.
