Job title – Resource Administration Officer
Location – Hybrid

About the Role
The Resource Administration Officer provides essential support to the resource team, including the efficient compliance of invigilators, this includes verifying documentation, monitoring expiry dates and maintaining up to date records.
Key Responsibilities
Invigilator Compliance
- Manage onboarding for all new invigilators, including processing DBS checks, obtaining references, and verifying right to work documentation.
- Ensure all invigilator records are fully compliant and accurately maintained within PARiM, including CVs, ID’s, Visas and supporting documentation prior to start dates.
- Monitor ongoing compliance, ensuring all invigilators meet regulatory and organisational requirements. This will include checking ID and visa expiry dates and ensuring DBS checks are in date.
- Maintain strict confidentiality and data protection standards when handling sensitive candidate information.
- Support the management and delivery of the Disclosure and Barring Service project, including the processing, tracking and renewal of Disclosure and Barring Service checks for over 400 invigilators, ensuring all checks remain valid and compliant with organisational and regulatory requirements.
- Review, issue and maintain safeguarding risk assessments where required, ensuring appropriate controls are in place and accurate records are maintained.
Invigilator Administration
- Coordinate and monitor completion of Surpass assessments for all invigilators on an annual basis.
- Distribute Training & Competency assessments periodically and track completion, updating PARiM records to ensure all invigilators remain compliant and competent.
- Support monitoring of training completion and competency levels, helping to identify any gaps and assisting in the coordination of targeted interventions.
- Maintain accurate and up-to-date records within PARiM, including conducting annual data cleansing activities.
- Prepare and distribute exam registers (e.g. Pearson, ICAEW), ensuring accuracy and timely delivery to exam leads.
- Supporting remote exams where possible, ensuring the training links have been distributed, everyone has access to the exam WhatsApp and exam day support on a rota basis as these exams are weekends.
- Support the updating and maintenance of training materials and presentations to ensure they remain current and fit for purpose.
- Send out pre-exam briefings invites to all team members working on exams.
- Maintain accurate and up-to-date records of all invigilator training, including initial onboarding, refresher sessions, and delivery-specific briefings and T&C testing completion.
Operational Support
- Arrange travel and accommodation for invigilators and internal staff where required for exam delivery.
- Coordinate logistics for early morning or late-night exam setups, ensuring staffing requirements are met.
- Assist with the setup and management of support channels during live exam days.
- Provide on-the-day operational support, troubleshooting issues and ensuring smooth exam delivery.
- Contribute to continuous improvement of processes and systems within the resource function.
Qualifications:
Essential:
Educated to GCSE standard, including English and Maths.
Experience:
- Previous experience in an administrative role, preferably within education, events or operations
- Experience coordinating logistics (travel, accommodation etc)
- Experience using project management software as a communication and workload tool such as Monday.com.

- Excellent attention to detail and accuracy.
- Ability to prioritise tasks and meet deadlines under pressure.
- Proficient in Microsoft Office (Word, Excel, Outlook) and general IT systems.
