We are seeking an experienced Business Administrator to lead and coordinate the administrative activities that underpin our sales, customer service, order management, purchasing and logistics functions. Working closely with colleagues in both the UK and Australia, you will help ensure the business operates efficiently while delivering outstanding service to customers, suppliers and brand partners.

Key Responsibilities
Business administration and coordination
- Oversee daily business administration and coordinate workflows across sales, order management, purchasing, logistics and customer service.
- Establish clear responsibilities, priorities, follow-up actions and escalation points.
- Develop and maintain procedures, checklists, templates and working instructions.
- Coordinate general office support, records, correspondence, meetings and internal communications.
- Identify administrative bottlenecks and implement practical improvements.
Sales administration
- Provide responsive administrative support that enables the sales team to focus on customers and revenue-generating activity.
- Prepare approved quotations, customer offers, product information and sales documentation.
- Maintain accurate customer records, contact details, price lists, product information and approved sales materials.
- Prepare documentation, presentations, status updates and action lists for customer and sales review meetings.
Order management and fulfilment support
- Oversee the end-to-end order administration process, including order receipt, validation, data entry and discrepancy resolution.
- Coordinate with sales, purchasing, logistics and third-party logistics providers to support accurate and timely fulfilment.
- Monitor shipment information and provide appropriate delivery updates.
- Manage customer and stakeholder enquiries, service issues and escalations.
- Maintain complete and accurate order, shipment, approval and communication records.
Customer and stakeholder support
- Promote a professional, responsive and solutions-focused service culture.
- Ensure customer enquiries and internal requests are acknowledged, assigned and resolved in appropriate timeframes.
- Build effective working relationships with customers, suppliers, brand partners, sales teams, logistics providers and colleagues in Australia.
- Escalate recurring service or operational issues
Systems, documentation and compliance
- Maintain accurate, accessible and appropriately controlled business records.
- Oversee data quality across relevant ERP, CRM and shared business systems.
- Ensure approved templates, forms, registers and document naming conventions are used consistently.
- Support system improvements, testing, workflow automation and user adoption.
- Protect confidential and commercially sensitive information.
- Apply appropriate quality checks and support internal reviews, audits and documentation requests.
About You
To succeed in this role, you will be an experienced administration or operations professional who is comfortable taking ownership, setting priorities and working across multiple business functions.
Essential experience and capabilities
- At least five years’ experience in business administration, sales administration, order management, customer service, import/export, logistics or a related operational role.
- Experience supervising or leading an administration or customer support team.
- Strong organisational skills and the ability to manage competing priorities.
- A track record of following tasks and commitments through to completion.
- Excellent written and verbal communication skills.
- A professional and responsive customer service approach.
- Strong analytical, problem-solving and process improvement capabilities.
- Experience developing, documenting and implementing procedures and workflows.
- Intermediate to advanced Microsoft Office skills.
- Experience using ERP and CRM systems and maintaining accurate business data.
Desirable experience
- Experience within wholesale, distribution, FMCG, beverages, import/export or a multi-entity business.
- Experience working with third-party warehouses and external logistics providers.
- Experience supporting sales teams with quotations, customer documentation, product information and commercial administration.
- Exposure to systems implementation, workflow automation or business process improvement.
