Purpose of the role
We are looking for a proactive and organised Team Coordinator to support Arup's Technical Services (TSS) team. This role is key to ensuring the smooth day-to-day running of the team by providing high-quality administrative and coordination support across projects, business operations and team activities. You'll work closely with colleagues across the business, helping to keep processes running efficiently while contributing to a positive and collaborative team environment.
What You'll Do
- Provide administrative support across projects and team activities
- Coordinate meetings, manage diaries and arrange team events
- Prepare, format and proofread documents, reports and presentations
- Take meeting notes and ensure actions are captured and followed up
- Support project administration and assist with business operations activities
- Help coordinate onboarding activities and wider team administration
- Assist with bids, proposals and other business development activities
- Work collaboratively with stakeholders across the business to support successful project delivery
- Maintain accurate records and handle confidential information with discretion
- Support the wider Technical Services team with day-to-day coordination requirements
The Skills you'll need
- Previous experience in an administration, team coordination, office support or receptionist role
- Strong organisational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Strong attention to detail and ability to produce high-quality documentation
- Confident user of Microsoft Office, including Outlook, Word, Excel and PowerPoint
- Ability to work independently while also collaborating effectively with others
- Proactive, flexible and solutions-focused approach
- Comfortable working in a fast-paced professional environment
- Ability to handle sensitive and confidential information appropriately
- Experience supporting professional services, engineering or technical teams would be beneficial but is not essential
