As part of our continued growth, we are looking for a proactive and organised Legal Service Co-ordinator to join our team.
This is an exciting opportunity for someone with strong client relationship, sales, or business development experience to play a key role in generating and converting new business opportunities while ensuring prospective clients receive a professional and welcoming experience from their first contact with the firm.
The Role
As a Legal Service Co-ordinator, you will be the first point of contact for many prospective clients and will be responsible for managing enquiries from a variety of sources, including telephone calls, emails, website enquiries, and web chats.
You will work closely with our legal teams to ensure new enquiries are handled efficiently, clients receive accurate information and quotations, and new instructions are distributed fairly across the firm.
This is an ideal role for someone who enjoys building relationships, delivering excellent customer service, and contributing to the growth and success of a business.
Key Responsibilities
- Act as the first point of contact for prospective clients.
- Handle and respond to new business enquiries received via:
- Telephone calls
- Emails
- Website enquiries
- Web chat services
- Discuss client requirements and provide quotations where appropriate.
- Prepare and issue initial client correspondence.
- Follow up conveyancing quotations and other quotes issued by the firm to maximise conversion opportunities.
- Manage and maintain the new business pipeline, tracking enquiries, leads and client conversions.
- Coordinate and arrange initial appointments between clients and fee earners.
- Monitor incoming instructions and assist with the fair distribution of new work across departments.
- Maintain accurate records of enquiries, communications and outcomes within the firm's case management system.
- Develop and maintain relationships with introducers, referral sources and external contacts.
- Work closely with fee earners to understand service offerings and ensure a seamless client onboarding experience.
- Monitor and report on business development activity, trends and opportunities.
- Support the firm's growth strategy through proactive client engagement and relationship building.
What We're Looking For
Essential
- Experience in business development, sales, client relationship management or a similar customer-focused role.
- Excellent communication and interpersonal skills.
- Strong organisational skills with the ability to manage multiple enquiries and tasks simultaneously.
- Confident telephone manner and ability to build rapport with prospective clients.
- IT proficiency, including Microsoft Office applications.
- High attention to detail and accuracy.
- Understanding of the importance of client care and confidentiality.
- Ability to work effectively both independently and as part of a team.
Desirable
- Previous experience within the legal sector.
- Knowledge of legal services, particularly conveyancing or private client work.
- Experience attending networking events or supporting marketing campaigns.
- Understanding of SRA client care requirements.
