Overview
We are seeking a proactive and detail-oriented Part-Time Executive Assistant to support our leadership team with a variety of administrative and organizational tasks. Job Details
- Hours: 3 days per week (flexible days) based on 7.5hr working day
- Type: Part-Time, Permanent
- Location: On-site at our Head Office in Ruislip
- Salary: Competitive, based on experience
Duties will include
- Manage calendars, schedule appointments, and coordinate meetings for executives to optimize their time and commitments
- Prepare and organize documents, reports, and presentations using Microsoft Office tools.
- Handle incoming calls with professional phone etiquette, directing inquiries appropriately and taking detailed messages when necessary
- Perform simple data entry tasks accurately into relevant systems to support financial and personnel record-keeping
- Assist with clerical duties such as filing, scanning, photocopying, and maintaining organized office and personnel files
- Support invoice processing, supplier ordering, expense tracking, and basic bookkeeping activities
- Help with managing employee documentation and company handbook.
- Provide general administrative support including email correspondence, travel arrangements, and office supply management
- Posting job adverts and set up interviews.
- Manage employee onboarding and new hire paperwork.
- Keep track of staff holiday and sick leave.
- Answer staff questions about company rules.
- Help record training and keep staff files safe.
- Liaise with our remote sites and external agencies and suppliers.
Qualifications and exprience
- Proven administrative experience with a strong background in office support roles
- Demonstrable experience in general office management with HR support preferable
- Good proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong data entry skills with high accuracy and attention to detail
- Demonstrated clerical experience including filing, document management, and record keeping
- Experience in handling private and sensitive data
- Exceptional phone etiquette and professional communication skills
- Adequate typing speed to handle correspondence efficiently
- Familiarity with general office procedures and office equipment operation
- Driven to succeed attitude, self-motivated
