The agency is made up of c.1600 staff working across three main centres and peripatetically across the UK and abroad.

The agency consists of Corporate, Partnerships, Transformation, Governance, Communications & Engagement, Scientific Research & Innovation, Healthcare Quality & Access, Safety & Surveillance and Technology groups.

This role will be based between Canary Wharf, London and South Mimms in Hertfordshire.

This role sits within the SR&I Group and works closely with the Chief Medical & Scientific Officer and the two SR&I Directors and their Senior Management Teams (SMT) to support the effective running of the Group, ensuring strong operational coordination across all areas.

Job description

This is a pivotal, high-impact role at the heart of the SR&I Group, demanding an exceptional individual with outstanding operational and secretariat capabilities. The post holder will support the Chief Medical & Scientific Officer and the two SR&I Directors, operating at pace across a wide range of strategic and operational activities to ensure projects deliver to time.

The post holder will provide support to the CMSO, managing diaries, action tracking, and ensuring the smooth flow of work into and out of the CMSO's office. They will also support the business in supporting Directors and Deputy Directors in defining objectives, deliverables and success criteria, developing risk registers, and monitoring milestones so that agreed outputs are delivered and benefits realised.

We are looking for a highly organised professional who thrives on variety and complexity, brings sound judgement and excellent attention to detail.This is an exciting opportunity to build a deep understanding of SR&I's work within the Agency, with scope to broaden your impact further by supporting the wider Agency Support team at times of peak demand.

Key responsibilites

Perform diary management activities for the CMSO including but not limited to: diary/calendar management and coordination, booking internal/external meetings, liaising directly with a wide range of internal and external stakeholders to prepare agendas and professional presentations, coordinating the complete and on-time delivery of briefings, and serving in a front door gatekeeper role for the CMSO.
Secretariat for Senior Management/staff meetings/external meetings and ad hoc meetings as required. This includes coordinating a programme of work for Group Meetings to ensure key functional work is communicated and to ensure outputs from the meetings are implemented.
Co-ordinate administrative work such as monthly reports, Chief Executive Officer (CEO) enquiries, ministerial commissions, media requires etc. by tracking progress and ensuring timely delivery.
Support project and programme management activities including progress tracking coordinating completion of key deliverables, stakeholder management, organisation and prioritisation of key actions

Demonstrates the ability to align activities with wider organisational priorities, stay alert to emerging issues, and take responsibility for delivering timely, quality outcomes with focus and drive.
Communicates with clarity, honesty and enthusiasm, adapting style to suit different audiences and stakeholders, and ensuring information is shared clearly and with purpose.
Digital Working and Agency Understanding: Experience working in a paperless environment using standard office software (spreadsheets, documents, online notebooks), combined with an understanding of the Agency's role and the impact of its decisions.
Prioritisation: Excellent organisational, time management and prioritisation skills, with the ability to multi-task, balance competing priorities, and apply project management experience across multiple concurrent projects involving complex, technical matters.
Adaptability: An improver who seeks better ways of doing things, adapts readily to change, and works effectively as part of a team to ensure it pulls together and delivers.
Excellent presentation and communication skills with the ability to concisely communicate information to groups of people.

Annual Leave: 25 days annual leave on entry, rising by one day for each completed year of service to a maximum of 30 days and pro-rata for part-time staff. PLUS 8 bank holidays

Hours of Work: 37 hours (net) per week for full time staff in all geographical locations, including London and pro rata for part-time staff
