Services and Operations Administrator
Job Purpose
The Services and Operations Administrator plays a key role in supporting the efficient day-to-day operation of the business. The role is responsible for coordinating operational activities, maintaining compliance records, supporting installation teams, managing procurement and stock levels, and providing excellent customer service. This position requires a highly organised individual with excellent communication skills and the ability t to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Operations & Compliance
- Manage employee training records, certifications and competency matrices, ensuring all mandatory training remains current.
- Schedule refresher training and liaise with external training providers where required.
- Coordinate the annual servicing, maintenance and statutory inspections of company vehicles, plant and machinery.
- Maintain accurate service records, certificates and compliance documentation.
- Monitor expiry dates for servicing, inspections and certifications, ensuring all assets remain compliant.
Procurement & Stock Management
- Procure equipment, materials and consumables in accordance with company procedures.
- Monitor stock levels and replenish inventory as required.
- Liaise with suppliers to obtain quotations, place orders and track deliveries.
- Ensure stock records are accurate and up to date.
Operations Coordination
- Coordinate installation teams by scheduling works, allocating resources and communicating job information.
- Prepare work schedules and ensure teams have the necessary equipment and documentation.
- Monitor installation progress and assist in resolving scheduling issues.
Dispatch & Logistics
- Organise the dispatch of finished goods to customers.
- Coordinate courier collections and deliveries.
- Ensure products are packaged and dispatched accurately and on time.
- Maintain dispatch records and provide customers with delivery updates where required.
Customer Service & Administration
- Act as a first point of contact for customer enquiries via telephone and email.
- Liaise with customers regarding orders, installations, deliveries and service appointments.
- Maintain professional and courteous communication with customers and suppliers.
- Answer incoming telephone calls and direct enquiries appropriately.
Administration
- Update and maintain company databases and management systems, ensuring information is accurate and current.
- Maintain electronic and paper filing systems.
- Produce reports, spreadsheets and operational documentation as required.
- Support the management team with general administrative duties.
- Assist with continuous improvement initiatives and process development.

Hours:
Part-Time – 24 hours per week, worked across a minimum of four days per week.
The Package:
Salary: £13.50-£15.00 per hour
28 days of holiday pro-rata (including bank holidays) increasing to 33 after 5 years’ service (additional day per year)
Pay: £13.50-£15.00 per hour
