Workshop Administrator

Hours: 7am-5pm Mon - Fri and 7am-12pm every other Saturday
The Role
Lamorak Workshop is looking for an organised, practical and commercially aware Workshop Administrator to support the day-to-day running of our busy vehicle and plant workshop.
This is a varied, hands-on office-based role. You will take responsibility for maintaining our workshop management system, (bespoke software) processing invoices, dealing with queries, sourcing parts and supporting the wider workshop team with general administration and ad hoc tasks.
Full training on our bespoke software and our internal processes will be provided. Previous experience working around vehicles, engines, machinery or plant would be a strong advantage.
Key Responsibilities
You will be responsible for:
- Managing and updating jobs, vehicles, plant and maintenance records within AssetMinder
- Raising and processing workshop invoices
- Checking job information, labour, parts and charges before invoicing
- Responding to internal and external queries
- Maintaining & scheduling accurate servicing, inspection and repair records
- Sourcing and ordering vehicle, machinery and plant parts as required
- Liaising with suppliers regarding pricing, availability and deliveries
- Matching purchase invoices and resolving discrepancies
- Supporting workshop managers and engineers with administrative requirements
- Maintaining organised records and ensuring information is kept up to date
- Completing general office administration and ad hoc tasks
- Helping priorities move forward in a fast-paced and changing environment
About You
We are looking for someone who is:
- Highly organised and able to manage several priorities at once
- Comfortable working with computer systems and entering information accurately
- Confident dealing with invoices, suppliers and queries
- Practical, proactive and willing to take ownership of problems
- Able to work calmly and accurately in a busy workshop environment
- A clear communicator with good attention to detail
- Comfortable working as part of a small, close-knit team
- Flexible and willing to help wherever required
Knowledge of vehicles, engines, commercial vehicles, agricultural machinery or heavy plant would be beneficial, although it is not essential.
Experience in workshop administration, fleet administration, parts ordering, invoicing or a similar operational role would also be advantageous.
