About the Role
We are looking to recruit an Office Administrator & Sales Support to join our busy office team.
This is a varied role that changes with the seasons. During the summer months, the primary focus is on office administration, customer and supplier account administration, customer service and supporting the day-to-day running of the business. During our busy winter season, the role naturally becomes more sales-focused, with increased responsibility for handling customer enquiries, preparing quotations, processing orders and supporting the sales function.
You will be joining a small, friendly and progressive team, where everyone works closely together to support the business. We are looking for someone who enjoys working collaboratively, is adaptable, and is happy to take on a variety of responsibilities throughout the year.
The successful candidate will be organised, proactive and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- General office administration and data entry
- Answering telephone calls and dealing with customer enquiries
- Customer account administration, including setting up and maintaining customer records
- Supplier account administration, including maintaining supplier records and documentation
- Processing customer orders and updating internal systems
- Preparing quotations and providing support to the sales function
- Assisting with customer sales enquiries, particularly during the busy winter season
- Liaising with customers, suppliers and internal departments to ensure the smooth running of daily operations
- Assisting with invoicing and general office documentation
- Filing, scanning and maintaining accurate records
- Providing administrative support to the wider office team
- Undertaking other administrative duties as required
About You
The successful candidate will have:
- GCSE English and Maths (Grade C/Grade 4 or above), or equivalent
- Previous experience in an office administration, customer service or sales support role
- Excellent communication and interpersonal skills
- Confidence speaking with customers over the telephone and building positive customer relationships
- The ability to remain calm, organised and work effectively in a fast-paced environment, particularly during our busy winter season
- Strong organisational and time management skills
- Good IT skills, including Microsoft Office
- Excellent attention to detail and accuracy
- The ability to prioritise workload and work on their own initiative
- Enjoys working as part of a small, close-knit team and is willing to support colleagues across different areas of the business
- A positive, professional and flexible approach to work
- Experience within the fuel, transport, logistics or distribution sector would be advantageous but is not essential
Working Hours
- Monday to Friday
- Full-time, permanent position
- 40 hours per week
- Working hours between 8:00am and 5:00pm
