Role Purpose
To support the effective operation of Beaumond House retail premises by overseeing facilities management, maintenance, health and safety, and fire safety arrangements across all retail sites. The postholder will help ensure that shops provide safe, compliant, welcoming and well maintained environments for customers, volunteers and staff.
The role forms part of the wider organisational facilities function, working alongside the Facilities Lead to support consistent facilities, maintenance, health and safety, fire safety and compliance standards across Beaumond House premises.
The postholder will report to the Director of Finance and Operations for line management, professional development, governance and compliance oversight. Day-to-day retail priorities will be agreed in close collaboration with the Retail Area Manager to ensure the retail estate receives appropriate operational support.
Main Duties and Responsibilities
- Carry out risk assessments, health and safety, and fire safety checks across retail sites and ensure all records are maintained and actioned.
· Work with the external Health and Safety provider to coordinate statutory compliance checks, inspections and resulting action plans across all retail locations.
· Support the monitoring of statutory and routine compliance requirements, including fire safety checks, alarm testing, emergency lighting, water safety, electrical safety, PAT testing, contractor documentation and planned preventative maintenance records, where applicable.
- Undertake and coordinate site audits to ensure compliance with internal standards and external regulations.
- Liaise with contractors and suppliers to manage planned and reactive maintenance, ensuring timely and quality completion.
- Respond to urgent repair or maintenance issues and complete small-scale practical repairs as required.
- Carry out basic redecoration and fitting tasks (e.g. painting, shelving, signage) during shop refurbishments or when setting up new retail units, reducing reliance on external contractors.
- Undertake Portable Appliance Testing (PAT) of static electrical equipment in all retail shops following appropriate training and certification.
- Report and monitor health and safety hazards or risks, ensuring incidents are documented and resolved.
- Investigate accidents, incidents and near misses within retail locations and support managers in implementing learning and corrective actions.
- Coordinate waste management, recycling, and cleaning contracts across the retail estate.
- Oversee the general upkeep of premises including building fabric, utilities, and shop fittings.
- Support fire safety procedures and ensure evacuation plans and alarms are routinely tested and up to date.
- Deliver or coordinate basic health and safety and fire safety training for retail staff and volunteers.
- Maintain awareness of the retail environment, customer activity and potential safety risks.
- Support environmental best practices across retail sites, including waste reduction, energy efficiency and recycling initiatives.
- Support the setup of new retail locations, contributing to compliance checks, premises readiness and fit-out coordination.
- Work collaboratively with the Hospice Facilities Lead as part of one wider facilities function, providing mutual support, cross-cover and resilience across hospice and retail sites during periods of annual leave, sickness or operational pressure, and supporting larger maintenance or compliance projects where joint working is beneficial.
Work closely with the Retail Area Manager, shop managers and retail teams to understand site-specific maintenance, safety and compliance priorities and agree appropriate action plans.
Administration
- Maintain accurate and up-to-date records, reports, and inspection logs.
- Use internal systems to manage compliance, maintenance, and safety tracking.
- Support audits and reporting to the Health and Safety committee.
- Respond in a timely manner to enquiries/queries.
General Duties
- Work collaboratively and cooperatively with Beaumond House colleagues and retail teams.
- Maintain close working relationships with the Facilities Lead and external Health and Safety provider.
- Participate in a structured induction programme and training plan to support successful integration into the role.
- Respect confidentiality and uphold professional standards.
- Abide by Beaumond House policies, procedures, and health and safety legislation.
- Act as a visible and approachable presence within retail locations, supporting a welcoming environment.
Skills, Experience and Attributes Required
Essential
- Experience of basic maintenance, facilities support or premises coordination.
- Understanding of workplace health and safety requirements and the importance of accurate compliance records.
- Experience of applying health and safety procedures within a workplace environment.
- Ability to plan and prioritise workload across multiple sites with minimal supervision.
- Strong practical skills for small repairs, basic maintenance, decorating, painting and installing fixtures.
- Excellent interpersonal skills and confidence in engaging with staff, volunteers, contractors, managers and members of the public.
- Ability to deliver guidance and training to staff and volunteers in a supportive and practical manner.
- A full UK driving licence and access to a vehicle for site visits is essential.
- Competent in using digital systems for logging compliance, maintenance scheduling and reporting.
- Awareness of confidentiality, data protection and safeguarding principles
Desirable
- PAT testing qualification or willingness to complete appropriate training and certification.
- Fire safety, risk assessment, manual handling, COSHH, infection control or RIDDOR training.
- Good working knowledge of facilities or property management, preferably in a retail, charity, hospice or public-facing environment.
- Experience using compliance, maintenance or facilities tracking systems.
