As our business continues to grow, we are looking for a highly organised and proactive individual to play a key role in supporting the Managing Director and ensuring the smooth day-to-day running of the business. This position is integral to our continued success, providing high-quality administrative and operational support that enables the leadership team to focus on strategic priorities, client relationships and business growth. The successful candidate will become a trusted member of the team, helping to improve efficiency, maintain excellent standards of organisation and contribute to the ongoing development of the business as we continue to expand.
No two days are the same. One morning you might be organising the Managing Director's diary and preparing documents for an important client meeting; later you'll issue invoices, coordinate annual leave, book travel, update business records and support new client onboarding. You'll quickly become the person the business relies on to keep everything running smoothly.
Your profile
· Positive and pro-active, "can-do" attitude
· 3+ years' senior administrative experience
· Excellent organisational skills
· Strong Microsoft 365 skills
· Excellent written and verbal communication
· Ability to manage multiple priorities
· High levels of discretion and confidentiality
· Strong attention to detail
· Comfortable working independently or as part of a team
· Strong problem-solving ability and calm under pressure
What you’ll do in the role
Executive Support
- Manage the MD's diary and appointments
- Screen, organise and prioritise MD emails
- Arrange meetings and prepare agendas
- Coordinate follow-up actions
Finance Administration
Whilst no bookkeeping qualification required, some experience of using accounting software is desirable as you’d partly be working alongside finance colleagues:
- Raise client invoices
- Chase outstanding information relating to invoicing
- Maintain accurate financial records
- Assist with expense processing
- Liaise with external accountants where appropriate
Business Development Support
- Maintain record and capture progress relating to new client onboarding
- Schedule client meetings
- Maintain sales pipeline administration
Office & Operational Support
- Annual leave administration
- Book travel and accommodation
- Organise company meetings and events
- Support onboarding of new employees
- Support maintenance of company policies, processes and administrative records
General Administration
- Produce reports
- Maintain electronic filing systems
- Improve administrative processes
- Undertake ad hoc projects for the MD
