About the Role
We are a growing supplier of ATEX-certified lighting and electrical equipment to hazardous area industrial sites. As we continue to expand, we are looking for a reliable, organised, and detail-oriented individual to join us on a part-time basis in a combined bookkeeping and office administration role. This is a varied and hands-on position that will be central to the smooth day-to-day running of the business.
Role Details
- Job Title: Part-Time Bookkeeper & Office Administrator
- Reporting To: Directors
- Hours: 16 hours per week (flexible arrangement considered)
- Contract Type: Permanent
- Salary: Competitive, dependent on experience
Key Responsibilities
Bookkeeping & Financial Administration
- Maintain accurate and up-to-date financial records using Xero accounting software
- Process supplier invoices, purchase orders, and expenses in a timely manner
- Raise and issue customer invoices, ensuring accuracy against quotations and delivery notes
- Monitor accounts receivable and follow up on outstanding customer payments
- Reconcile bank accounts and credit card statements on a regular basis
- Process staff expenses and ensure appropriate authorisation is in place
- Support preparation of monthly management accounts and financial summaries for Directors
- Liaise with the company's external accountant and provide requested records and reports
- Assist with VAT return preparation and submission in line with HMRC requirements
- Maintain organised and accessible records for audit purposes
- Monitor cash flow and flag any concerns or anomalies to management
Payroll & HR Administration
- Process monthly payroll or liaise with payroll bureau to ensure accurate, on-time payments
- Maintain employee records including contracts, holiday entitlements, and absence logs
- Support onboarding administration for new starters, including right-to-work checks
- Assist with pension auto-enrolment administration and contributions
- Track and manage holiday and sickness absence records
Office & General Administration
- Manage general office correspondence including emails, post, and phone enquiries
- Maintain and organise company documentation, filing systems, and shared drives
- Support the sales team with quotation administration, including document formatting and filing
- Assist with the preparation and submission of supplier and customer onboarding documentation
- Coordinate meetings, manage diaries, and take minutes where required
- Monitor and replenish office supplies, coordinating with suppliers as needed
- Support Directors with ad hoc reporting, presentations, and business administration tasks
Systems & Operational Support
- Assist with the administration of the company's Odoo ERP system (desirable but not essential — full training will be provided)
- Help maintain accurate customer and supplier records across business systems
- Support order processing workflows, liaising with the sales and operations teams
- Assist with the production of management reports and KPI summaries
Skills, Experience & Requirements
Essential
- Demonstrable experience in a bookkeeping or finance administration role
- Proficiency with Xero accounting software
- Strong working knowledge of Microsoft Office, particularly Excel and Outlook
- High level of accuracy and attention to detail
- Ability to manage and prioritise a varied workload independently
- Good communication skills, both written and verbal
- Reliable, trustworthy, and discreet when handling confidential information
- Working knowledge of VAT, basic payroll, and bookkeeping principles
Desirable
- Experience with Odoo ERP or similar integrated business management systems
- AAT qualification or equivalent bookkeeping/accounting qualification
- Previous experience in a small business or owner-managed business environment
- Experience supporting HR administration functions
