Overview
We are seeking a highly organised and proactive Executive Assistant / PA to work closely with the Director, providing day-to-day support while helping keep the business running smoothly.
This role is primarily focused on executive support, organisation and coordination, with additional exposure to construction projects and property development.
You will act as a trusted right-hand, helping manage priorities, streamline communication and ensure key tasks, meetings and projects stay on track.
Key Responsibilities
* Managing the Director’s diary and appointments
* Organising meetings and site visits
* Managing emails and prioritising actions
* Booking travel, accommodation and events when required
* Preparing meeting agendas and action lists
Construction Administration
* Issuing drawings and information to subcontractors
* Requesting and comparing quotations
* Managing tender documentation
* Maintaining project records and filing systems
* Chasing consultants, suppliers and subcontractors
* Tracking project actions and deadlines
Project Coordination
* Updating project programmes and trackers
* Maintaining project management systems
* Monitoring outstanding actions
* Preparing client reports and project updates
* Assisting with procurement schedules
Finance & Business Administration
* Raising invoices
* Managing purchase orders
* Supporting Xero bookkeeping processes
* Reconciling supplier invoices
* Monitoring payment schedules
* Assisting with monthly reporting
Development & Research Support
* Researching development opportunities
* Researching planning applications and local market data
* Preparing development appraisals and information packs
* Supporting land acquisition activities
Office & Systems Management
* Maintaining company systems and processes
* Managing digital filing structures
* Supporting implementation of new software and workflows
* Helping improve efficiency across the business
Pay: £18.00-£25.00 per hour
Work Location: Hybrid remote in Wadhurst (East Sussex)
