About Us
Ardenmere Construction is a growing construction and property development company specialising in high-end residential projects across Kent and the South East.
As our business continues to grow, we're looking for our first office hire—someone who can become the Director's right hand and play a key role in shaping how the business operates.
This isn't a traditional PA role. We're looking for someone with construction administration experience who enjoys bringing order to busy environments, implementing systems and processes, and supporting projects from enquiry through to completion.
Initially, the role will be fully remote for approximately 20 hours per week on a self-employed/contract basis. As the business continues to grow, our intention is for this role to become full-time, with the successful candidate helping establish and run our future office in the Tunbridge Wells working on a hybrid basis.
The Role
You'll work directly with the Director, taking ownership of administration, project coordination and business operations, allowing the Director to focus on growing the company.
You'll also play an important part in developing and improving the systems and processes that will support the next stage of Ardenmere's growth.
Key Responsibilities Executive Support
- Managing the Director's diary, inbox and priorities
- Organising meetings, site visits and appointments
- Preparing agendas, meeting notes and action trackers
- Booking travel and accommodation
- Acting as the main point of contact for day-to-day enquiries
Construction Administration
- Issuing drawings and construction information
- Preparing and issuing tender documentation
- Requesting, comparing and tracking subcontractor quotations
- Coordinating subcontractors and suppliers
- Chasing consultants, suppliers and subcontractors
- Maintaining project files and document control
- Tracking RFIs, variations and project actions
Project Coordination
- Updating project programmes
- Maintaining project trackers and reporting
- Monitoring deadlines and outstanding actions
- Producing weekly project updates
- Supporting procurement schedules
- Assisting with client communications
Finance & Business Administration
- Raising invoices
- Purchase orders
- Supporting Xero bookkeeping
- Supplier invoice reconciliation
- Monitoring payment schedules
- Supporting monthly reporting
Property Development
- Researching development opportunities
- Planning application research
- Preparing development appraisals
- Supporting land acquisition activities
Systems & Business Improvement
This is one of the most important parts of the role.
We're looking for someone who enjoys improving businesses through better organisation and technology.
You'll help us:
- Develop efficient office systems
- Improve document management
- Implement digital workflows
- Create project tracking systems
- Standardise templates and processes
- Recommend software and technology
- Build scalable processes as the company grows
About You
Essential
✔ Previous experience working within a construction company
✔ Experience supporting Directors or senior management
✔ Excellent organisational skills
✔ Strong Microsoft Office skills
✔ Confident communicating with subcontractors, suppliers and clients
✔ Experience managing multiple projects simultaneously
✔ Able to work independently with minimal supervision
Desirable
- Xero experience
- Project management software (ClickUp, Monday.com, Microsoft Planner, Asana or similar)
- Document control experience
- Knowledge of residential construction
- Experience helping improve office systems and processes
